About the Role
The Event Support Specialist provides logistical and operational support for the Events Team, ensuring seamless execution of trade shows and events. This role requires strong organizational skills, attention to detail, and the ability to work in a fast-paced environment. Additionally, the specialist will manage and execute sponsorship deliverables, including asset distribution, ticket management, and partnership orders, working closely with sponsors and internal teams. Other tasks may be assigned at any time.

Logistical Support:
- Assisting in booking booth and meeting spaces, staff registration, and housing arrangements.
- Coordinating electrical services and flooring arrangements for booths.
- Arranging for labor to install and dismantle booths and fixtures.
- Handling return authorizations for event products.
Material Preparation:
- Supporting the packing and shipment of exhibition materials, ensuring timely delivery and return.
- Ordering and preparing necessary fixtures such as rolling racks, tables, and mannequins.
- Managing giveaways and booth signage/graphics.
- Replenishing promotional materials as needed.
Inventory Management:
- Managing trade show, event, and partnership marketing material inventory and ensure materials are accounted for and organized.
- Keeping accurate inventory records of event products.
- Monitoring and manage event inventory during and after events, ensuring materials are returned and stored properly post-event.
- Managing the distribution of event assets and supporting materials, updating a spreadsheet with their destinations.
Vendor Coordination:
- Assisting in coordinating with vendors for exhibit setup and dismantling.
- Ensuring all vendor arrangements and contracts are in place.
- Coordinating with vendors for material delivery and setup.
Administrative Support:
- Providing support to the events team, including filing, typing, copying, shipping, and scanning documents.
- Maintaining accurate records of event contracts, orders, and payments.
Staffing Assistance:
- Developing and managing event staffing schedules, ensuring proper resource allocation.
- Supporting customer engagement activities at the booth.
Project and Calendar Management:
- Scheduling and managing partnership projects using tools like Slack, Workfront, Smartsheet, and Asana.
- Maintaining a strong calendar for the team, scheduling events and important deadlines.
Sponsorship and Event Deliverables:
- Assisting with the execution of event sponsorship deliverables, including managing PBR voucher distribution, and event ticket management.
- Working closely with sponsors to ensure proper execution of branding, signage, promotional activities, and product orders.
- Coordinating event-specific sponsorship activities and ensure deliverables are met on time.
Onsite Support:
- Providing onsite support during events, handling setup, takedown, and attendee management.
- Assisting in managing attendee registration and inquiries.
- Distributing promotional materials and support customer interactions.
Expense Tracking:
- Tracking event expenses and assist in financial reconciliation.
- Monitoring real-time expenses during events.
Post-Event Reporting:
- Compiling data and feedback from events, assisting in creating post-event reports.
- Supporting the preparation of detailed post-event reports and analysis.
- Assisting in identifying areas for improvement and implementing action plans for future events.
About You
- Bachelor's degree in Marketing, Business, or related field
- 2-3 years of experience in event coordination or marketing.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite.
- Ability to travel as needed for events.
- Ability to lift and move materials up to 45lbs.
- Experience in apparel, footwear and event marketing preferred.
- Familiarity with event management software.
- Experience with budgeting and expense tracking preferred.

The hourly range for this position is $25.00 - $30.00 per hour.
The salary is determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data for geographic locations.
