PSEA is seeking a detail-oriented Administrative Assistant in our Financial Management (i.e. Accounting) department. This in-person position mainly provides administrative support to the CFO, Accounting Specialist, Payroll Specialist and Facilities Coordinator as well as local association leaders and members.
Duties include:
- Coordinating, tracking, filing and review of some monthly, quarterly, and annual reconciliations, including outstanding checks
- Support managing the accounts payable and accounts receivable systems
- Assisting with contract process and maintenance of document management system
- Supporting employees by providing understanding processes and procedures related to membership, accounts payable, and accounting systems
- Coordinating annual Membership and Treasurer Workshops
- Assisting with updates to training Manuals and other documents
- Preparing for Committee and Budget Meetings (agendas, meeting packets, notes and minutes)
- Maintaining vendors in accounting system and managing W-9 request process
- Reconciling invoices and submitting monthly payment for a variety of services and supplies
- Assisting with the IRS 1099 process for each calendar year
- Coordinating development of budget, mid-year review, and year-end review documents and edit/format documents
- Assisting with user access, attorney rates, and case numbers in the legal tracking system
This position requires a highly organized individual with strong executive functioning skills, who is committed to public education and union values. The ideal candidate must be able to handle multiple competing priorities, work independently, be skilled in using computer software applications, have the ability to communicate effectively both orally and in writing, and exhibit good customer service traits. Candidates should be able to think critically, problem-solve quickly and generate creative ideas.
