Primary Purpose:
The Receptionist will deliver exceptional customer service while creating a positive, friendly, and professional environment. This role plays an integral role in the daily operations and is responsible for creating a meaningful first and last impression to all clients and potential clients. As the face of the organization, the Receptionist performs a variety of client services to ensure that all employees and guests receive the VIP experience. The position will also organize and coordinate office administration and procedures, to ensure organizational effectiveness and efficiently keep the business operating smoothly on a day-to-day basis.
The Receptionist is the first point of contact during the standard workday, Monday through Friday between the hours of 7:30 a.m. – 4:30 p.m.
Key Responsibilities and Essential Functions:
Customer Service:
- Greet all guests and answer all incoming phone calls, directing them to the right person or department.
- Act as back-up for AdvisorNet Financial Partner’s front desk to provide coverage for breaks, vacations, and unexpected absences.
Office & Facilities Management:
- Open the office, including but not limited to making coffee, restocking café supplies, loading/unloading the dishwasher, setting up conference rooms and executive offices for the day, mailroom supplies, printer maintenance, restocking all fridges/mints, and watering plants as needed.
- Maintain a professional workspace and overall office appearance, including but not limited to the reception desk, lobby, and conference rooms.
- Close the office, including but not limited to turning off lights and ensuring the kitchen and shared areas are picked up and organized.
- Manage office and café inventory.
- Manage all mail and shipping.
- Manage relationships and service requests with vendors and building management; serve as the point of contact for office maintenance and sub-tenants.
- Identify opportunities for process and office management improvements, design and implement new systems, and maintain the Receptionist standard operating procedures (SOPs).
- Maintain security by following procedures and monitoring the logbook and issuing the visitors’ security badges. Keep current record of employee whereabouts and availability.
- Assist in projects as assigned to further support the needs of the business.
Job Specifications:
- High School Diploma or GED, required.
- 2+ years front desk receptionist or relevant experience, required.
- Proficiency with Microsoft Office 365 Suite.
- Familiarity with phone queue etiquette.
- Experience using standard office equipment (printer, scanner, postage machine, etc.).
- Ability to maintain confidentiality, exercise discretion, make solid judgements and act with integrity, professionalism and empathy.
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition and grammar.
