TITLE: Portfolio Marketing Operations Manager (Contractor)
Pay: $52.00-$60.00 based on experience
Hybrid work (At least one day onsite in Boston MA Sea Port location)
5 plus years of experience in a similar role
Must have experience with VEEVA PromoMats
6-12 month contract
Reporting to the Director of US Oncology Portfolio Marketing, the Manager of Oncology Portfolio Marketing will lead and manage key marketing operations and programs critical to the success of the US Oncology Business Unit.
RESPONSIBILITIES
MLR COORDNATION AND PRINT & FULFILLMENT OPERATIONS
Lead the US MLR System and Process with the following:
Schedule and facilitate weekly MLR meetings to ensure materials are appropriately prioritized.
Support MLR material submission to VEEVA PromoMats and circulation of materials to be reviewed.
Monitor and manage materials to ensure that materials are moving efficiently through the system.
Track MLR reviewer comments and elicit necessary revisions.
Track materials approaching expiration dates and work with project owners to ensure timely renewal of materials.
Train new employees and vendors on the US MLR process
Provide support in managing, maintaining, and improving the VEEVA PromoMats functionality and training.
Manage and streamline reporting processes between Veritas (Veeva Promomats) and the print/fulfillment vendor's website.
Ensure accurate and timely data transfer to support efficient production and distribution of promotional materials.
Ensuring compliance with regulatory promotional guidelines and SOPs are adhered to.
Support Print & Fulfillment Lead with the following:
Manage and streamline reporting processes between Veritas (Veeva Promomats) and the print/fulfillment vendor's website.
Ensure accurate and timely data transfer to support efficient production and distribution of promotional materials.
Oversee the promotional material ordering website, ensuring the accuracy and availability of new materials.
Regularly update the site to remove expired assets and maintain a comprehensive catalog of current resources.
Provide detailed analytics and performance reports on promotional materials to assess effectiveness and inform strategy.
Utilize data to identify trends, optimize material usage, and improve future promotional efforts.
Maximize the functionality of the FGS fulfillment website by enabling compliant PDF downloads, providing full resource descriptions, and ensuring up-to-date images.
Continuously improve the site’s user experience to facilitate easy access and efficient use of promotional materials.
US Oncology Meetings PLANNING & INTERNAL COMMUNICATIONS
Lead meeting planner for TA POA meetings (2/year)
- Define overall meeting objectives with stakeholders and cross-functional planning teams that will drive planning.
- Communicate functional best practices and supporting strategic measures to guide stakeholders and cross functional planning teams in executing project plans for meetings.
- Lead planning team meetings and hold members accountable to project roles and responsibilities which drive operational timelines and deliverables.
- Develop and manage complex meeting budget and ensure compliance with corporate and departmental financial policies.
- Partner with Meeting & Events team on communication of logistical requirements.
- Build and maintain relationships with internal business partners such as Marketing, Training, Medical, Market Access, Finance, Legal, Compliance, Regulatory, Corporate Communications, as well as external vendor partners.
- Assist in the updating and/or creation of department SOPs and support functional process improvement initiatives.
Management of US Oncology Internal SharePoint Site
Oversee the SharePoint Site content and design, ensuring it is current, accurate, and engaging.
Continuously update and improve site functionalities to enhance user experience and accessibility.
Implement best practices for content management, including version control and compliance with organizational standards.
Effectively communicate the availability and benefits of SharePoint resources to the US Oncology Therapeutic Area (TA) team.
Develop and distribute comprehensive guides, tutorials, and training sessions to maximize the use of SharePoint tools.
Location: On-site 1 day/week in our Boston Seaport Office, located at 200 Pier 4, Seaport Blvd.
Travel: Position requires domestic travel up to 10% of time
Required qualitifications
- Bachelor's Degree Required
- Minimum of five (5) years’ experience in pharmaceutical or biotech industry with experience in marketing operations, commercial operations, meetings management, marketing and/or sales
- Expertise in MLR Operations, including leading MLR meetings is required.
- Experience in meeting planning is required.
- Proven ability to lead and collaborate with cross-functional teams.
- Proven project and vendor management skills including budget management, planning, prioritization, objective setting, and logistics execution.
- Experience and proficiency in managing multiple projects with diverse internal and external stakeholders.
- Ability to think strategically, work collaboratively, communicate effectively across all functions.
- Ability to develop creative approaches to accomplish work/problem solve.
- Strong organizational and communication skills, both written and verbal.
- Strong attention to detail and the ability to multi-task in fast paced environment.
- Strong interpersonal and influencing skills.

- Proficiency in VEEVA PromoMats, Outlook, Word, Excel and PowerPoint and aptitude to learn new software as required.
