Responsibilities:
- Purchase all job materials needed. This includes creating PO's for all purchased materials and tracking materials in and out of shipping. Gather quotes for material pricing as needed.
- Ensure job and city labor compliance requirements are met. Collaborate with union officials to identify labor resources needed, initiate background checks and complete new hire onboarding.
- Act as the cross-functional liaison between project management, accounting and field team to communicate pertinent information by helping simplify industry jargon into layman's terms.
- Complete the job information form and gather all supporting materials including the job description, customer and Project Manager information, phase codes, compliance material, job costs, etc.
- Create and maintain job folders for all awarded jobs. This includes establishing the job number, collecting submittals, distributing PO's, and keeping all information organized across different job segments (i.e. PO's, change orders, submittals, correspondence, etc.).
- Gather and enter all billing (i.e. labor, time & material, price quotes) into Vista to generate and submit invoices to customers.
- Address material/labor cost discrepancies by correcting misapplied materials and costs in Vista.
- Extract and analyze job data including, but not limited to: project labor hours, invoices, timecards, labor summary, labor compliance, etc.
Qualifications:
- High School Diploma or GED
- Associate Degree in construction management or related field a plus
- 2+ years of experience working in the construction industry or related field
- Strong knowledge of construction industry and accounting functions
- Proficient in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Prior experience conducting online research for product availability and pricing
- Ability to extract reports from various systems and analyzing the data
- Experience using Vista, Procore and plus
- Strong written and verbal communication skills
- Strong organizational skills and ability to multi-task to successfully meet deadlines
- Ability to work with others across varying work styles
- Ability to work through ambiguous situations and identify solutions.
- Ability to handle all situations in a professional manner by possessing active listening, a positive work attitude, timely responses and solution-based actions.
