PROBATE PARALEGAL

Position Overview:
In this role, you will handle the drafting and execution of Estate Planning documents and manage the opening and closing of Probate, Trust, and Guardianship matters. You will collaborate closely with attorneys, legal assistants, and administrative staff, serving as the “air traffic controller” of workflow. The ideal candidate will have experience in Estate Planning, particularly with Wealth Counsel, a leading drafting software.
Responsibilities include but are not limited to:
- Initial client intake;
- Working in the firm database program inputting client information;
- Coordinating scheduling and process flow;
- Coordinating drafting assignments (with the ability to jump in and draft or edit when necessary) and managing timeliness of document production/output;
- Calling and/or emailing clients to schedule follow-up meetings or to obtain information;
- Working with staff to print and collate Estate Planning documents for execution;
- Acting as a Witness or Notary during document signings;
- Providing accurate non-attorney information in-person and via phone/email;
- Updating calendars and scheduling meetings;
- Performing other clerical duties such as filing, photocopying, scanning and faxing.
Requirements:
- Minimum of 3 years as a Paralegal or Legal Assistant with experience in probate matters.
- Experience in estate planning, with hands-on experience using Wealth Counsel to draft estate planning documents.
- Proficiency in Microsoft Office Suite.
- Experience with law database management or billing management programs.
- Hands-on experience with office equipment (e.g., scanners, printers, and fax machines).
- Professional and upbeat attitude and appearance.
- Solid written and verbal communication skills.
- Ability to be resourceful and proactive when issues arise.
- Excellent organizational skills and an eye for detail.
- Ability to maintain confidentiality.
- Common sense and sound judgment.
- Strong multitasking and time-management skills, with the ability to prioritize tasks effectively.
- Flexibility to change direction based on client priorities.
- Calm and poised demeanor, with the ability to work well independently and as part of a team.
- Fluency in Spanish a plus
Educational Background:
- High School degree
- College, additional relevant certifications or trainings a plus
Work Type: Full-time
Schedule:
- Monday – Thursdays from 8:30 A.M. to 5:30 P.M. and,
- Friday from 8:30 A.M. to 2:00 P.M.
