The owner of an incredibly successful and stable investment firm is seeking a sharp and resourceful Executive/Personal Assistant. Your responsibilities will include extensive calendar and travel management, handling incoming correspondence, and coordination of important meetings and company events. This role requires a highly organized and detail-oriented professional who excels at managing complex schedules and coordinating travel arrangements. The ideal candidate will demonstrate professionalism and discretion while juggling multiple priorities in a fast-paced environment. The executive is lovely, kind and generous!
Key Responsibilities:
- Manage and prioritize a busy calendar, organizing internal and external meetings while mitigating scheduling conflicts.
- Coordinate domestic and international travel arrangements, ensuring optimal itineraries and all logistics are managed.
- Assist with compliance filings and other operational tasks as needed.
- Support philanthropic initiatives, including event planning and meeting logistics.
- Coordinate meeting agendas to ensure proper attendance and time management
- Coordinate events, conferences, and special projects
- Handle complex documents
- Maintain accurate address books, files, and contact lists
Qualifications:
- Proven experience in a similar role, with a commitment to confidentiality and professionalism.
- Strong organizational skills with the ability to handle multiple tasks efficiently.
- Proficient in Microsoft Office Suite, Zoom, and other relevant software.
- Excellent interpersonal skills and a high emotional intelligence.
- Exceptional intuition with the ability to proactively anticipate needs
- Independent decision-making abilities with strong judgment
- Sharp and driven with an unshakeable work ethic
- Excellent written, verbal, and interpersonal communication skills
Additional Information:
- Location: Menlo Park, CA (Hybrid schedule)
- Salary: $120,000 - $160,000 annually + Bonus
