We are seeking an experienced Operations/Office Manager with a background in investment banking, consulting, or professional services to support a dynamic team in Midtown Manhattan. This full-time, temp-to-perm role involves a blend of office management, administrative support, and coordination with both internal teams and external vendors. The ideal candidate is proactive, highly organized, and adept at managing multiple priorities in a fast-paced environment.
Responsibilities:
- Office Management: Oversee daily office operations, including ordering and managing office supplies, handling facility requests, and ensuring a smooth, efficient office environment.
- Scheduling and Coordination: Organize and manage scheduling, calendaring, and preparation for large meetings, collaborating with accounting teams, consultants, and internal partners.
- Team Support: Coordinate with team members, ensuring seamless communication and project coordination across departments.
- Vendor Relations: Act as a primary point of contact for external vendors, managing relationships, negotiating agreements, and coordinating services as needed.
- Meeting and Event Planning: Arrange logistics for team meetings, large gatherings, and events, including room bookings, catering, and technology setup.
- Documentation and Reporting: Prepare meeting notes, manage documentation, and provide reporting support for team members and executives.
Requirements:
- Experience: 3+ years of relevant experience in office administration or management, ideally within investment banking, consulting, or other professional services.
- Technical Skills: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and calendaring tools; experience with CRM or project management software is a plus.
- Organizational Skills: Exceptional organizational abilities with strong attention to detail and a track record of managing competing priorities.
- Communication: Excellent verbal and written communication skills, with the ability to interact professionally with all levels of staff and external contacts.
- Problem-Solving: Demonstrated problem-solving skills, with a proactive approach to identifying and addressing office and team needs.
