Our client, a multinational firm with a boutique feel, seeks a Legal Secretary to join their growing team. This hybrid role supports the Private Client & Tax division, working closely with a team of Partners, Associates, and Counsel. Key Responsibilities:
- Support attorneys by inputting time and managing schedules, correspondence, and communications with both internal and external stakeholders.
- Draft and finalize letters and legal documents, including trust and estate documents, as well as prepare client binders and presentation materials.
- Coordinate the client billing process, draft invoices, manage reimbursements, and handle other financial administrative tasks.
- Manage the attorney’s calendar, schedule conferences and calls, and arrange travel as needed.
- Maintain confidentiality on all firm matters and use advanced electronic document management and filing systems to keep records organized and accessible.
- Assist with new client onboarding, from preparing engagement letters to handling the conflicts check process.
- Provide Notary Public services as needed to support client transactions.
Ideal Candidate Profile:
- Brings 5+ years of experience in a law firm setting, with a demonstrated history of supporting senior-level attorneys.
- Has strong written and verbal communication skills and can manage complex tasks with high professionalism and discretion.
- Experience with document management software (e.g., iManage/FileSite) is preferred.
- Has the ability to prioritize and manage multiple tasks independently and as part of a collaborative team.
- A bachelor’s degree is preferred but not required.
