SUMMARY
The Payroll Administrator (“Administrador/a de Nómina”) is responsible for the overall administration and timely processing of the biweekly payrolls for all pay groups of Evans Hotels, ensures complete/accurate employee documentation and payment of all earning in compliance with federal and state requirements. Ensures consistent and accurate payrolls for complete customer satisfaction and to limit potential legal liabilities.

ESSENTIAL DUTIES
- Assists in accurately cutting and conducting manual checks as needed.
- Collects and processes all banquet service charges for Evans Hotels properties, including distributing banquet reports.
- Stays updated on company, city, state, and federal regulations regarding employee compensation.
- Runs missed punches and punch request reports, reviews Pay Period Close for missing punches, and ensures all timecards are approved, sending reminders to managers as needed.
- Approves unapproved timecards, performs timecard signoffs, and audits payroll reports for accuracy and consistency
- Assists in troubleshooting problems and resolving employee pay discrepancies; prepare adjustment and final checks as needed.
- Stay informed about current laws related to payroll processing.
- Maintains contact with vendors to investigate discrepancies, resolve issues and provide information in non-routine situations.
- Maintains payroll files and record keeping.
- Creates digital records by scanning all payroll processing backups and sorting daily departmental mail.
- Coordinates the annual distribution of W-2s; handles correspondence regarding wage and employment verifications as well as all reporting regarding employment, unemployment, and disability to state agencies.
- Creates, edits and runs various reports from HRIS.
- Assists with the weekly distribution of Pivot tables service charge reports.
- Reviews and verifies rate changes for Evans Hotels properties, and confirms days worked for salaried new hires and term employees
- Posts data sets (Retro, sign-off bonus, etc.) for Evans Hotels.
- Assists with processing and posting all service charges and incentives, ensuring that pending final service charges are included with payroll.
- Runs and prepares Check Distribution Checklist report for Evans Hotels properties.
- Organizes paychecks and direct deposits for the Evans Hotels by department, and ensures that any paychecks for retirees are mailed.
- Pulls checks for employees listed in the Inactive Employees with Pay report.
- Scans signed check distributions lists into network files.
- Processes and distributes incoming mail.
- Knows of and assists in emergency procedures as required.
- Stays current on HRIS trends and assists with reviewing, testing, and implementing system upgrades or patches.
- Collaborates with functional and technical staff to coordinate upgrades or fixes; maintains HRIS tables and database components.
- Documents trainings, process and results.
- Writes, maintains and supports a various reports or queries using appropriate reporting tools.
- Assists in developing standard reports for ongoing user and operator needs.
- Maintains data integrity in systems by running queries and analyzing data.
- Continuously increases HR knowledge and HRIS application/tools knowledge through classes, reading, CBTs, or other mechanisms.
- Performs additional duties and responsibilities as directed by the leadership team.
Qualifications
- Two-year associates degree, trade school degree, professional certification or any equivalent.
- Minimum of 2-3 years of previous payroll experience, preferably working with Paycom/ADP products.
- A combination of experience, education, and/or training may be substituted for either requirement.
- Previous similar position in a hotel, or similar business entity preferred.
- Bilingual in English and Spanish is preferred.
- Intermediate proficiency in Microsoft Excel, including experience with pivot tables, VLOOKUP, and basic formulas for payroll reporting and analysis.
- Availability to work on weekends and holidays is required.
- Ability to always maintain a friendly, professional, team-oriented, positive demeanor and diplomatic attitude, especially under stress or challenges.
- Ability to stand, kneel, squat for prolonged periods of time, up to and including, the entire shift and lift up to 25 lbs.
