The Documentation Control Administrator provides lead technical, business support and analysis for the Computerized Maintenance Management System (CMMS), including, but not limited to: Asset Management, oversight of the equipment calibration/preventative maintenance system, work planning, adherence to training requirements, spare parts inventory, and scheduling/coordination with outside service suppliers. This person will act as Master Control and MP2 administrator and coordinates the interface of the CMMS system, procedures and data transfer to various departments and databases; and ensures all CMMS procedures are developed and followed throughout the portfolio.
Key Responsibilities/Duties:
- Compliance with the Quality Management System and Environmental, Health and Safety requirements including being responsible for quality of work, good documentation practices, recordkeeping, good manufacturing practices (GMP) and safety.
- Acts as point of contact for the day-to-day operations of the CMMS.
- Provides workflow development, configuration and routinely monitors data transfer from and to the CMMS and other core business systems (KPI Dashboards, etc.).
- Develops equipment hierarch and ensures data accuracy.
- Reviews all data for adherence to hierarchy and errors prior to uploading or inputting data. Modifies as necessary.
- Supports all CMMS environments, including but not limited to development, testing, training and production.
- Oversees the inventory, storage, and distribution of equipment.
- Serves as point of contact for maintenance/equipment team on capital equipment projects.
- Maintains files of warranties, records, licenses, inspections, service agreements, and contracts for various pieces of equipment.
- Performs other related duties as assigned.
Competencies:
- Bachelor's degree in related field or 3-5 years’ experience with database management and documentation control
- 3-5 years’ experience with quality standards and project management
- Ability to maintain detailed records and equipment specifications.
- High level of understanding or ability to quickly learn the equipment and facilities to be maintained.
- Ability to understand written directions in manuals and on manufacturer websites.
- Proficient with Microsoft Office Suite or related software as required to complete and maintain records.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to access and navigate all areas of the facilities.
- Must be able to access all parts of the company equipment.
