JOB DESCRIPTION: EXECUTIVE ASSISTANT
Description of Responsibilities
The Executive Assistant is responsible for providing executive and clerical support in a one-on-one working relationship to an Executive Officer and/or Director.

Responsibilities include the following:
1. Function as gatekeeper for all correspondence and communications (by mail, e-mail, phone, fax, etc.) directed to supervisor.
2. Organize and maintain Outlook accounts
3. Research advertising vendors and obtain quotes
4. Manage and maintain executive schedule, including scheduling travel and conferences, making appointments, and making changes to appointments, catering and event planning.
5. Assist with Contracts and Compliance initiatives.
6. Complete and submit expense reports.
7. Provide clerical support to Management and other departments when approved by Supervisor
8. Open, sort, distribute, and create correspondence, including email, faxes, and regular mail.
9. Read and analyze submissions, letters, agendas, memos and determining significance; route as appropriate in a timely and efficient manner.
10. Prepare reports, spreadsheets, collect and analyze information, prepare presentations, data analysis.
11. Develop and/or maintain records management system and manage pharmacy documents and data in an accurate and efficient manner using paper and electronic filing systems.
12. Conduct research and gather information.
13. Maintain current skills with office technologies.
14. Participate in surveys conducted by authorized inspection agencies.
15. Participate in the pharmacy’s Performance Improvement program as requested by the Performance Improvement Coordinator.
16. Participate in pharmacy committees when requested.
17. Participate in in-service education programs provided by the pharmacy.
18. Report any misconduct, suspicious or unethical activities to the Compliance Officer.
19. Perform other duties as assigned by supervisor.
Minimum Qualifications:
Effective interpersonal, time management and organizational skills.
Strong communication skills, including effective speaking and writing.
Excellent computer skills, including word processing, and spreadsheets.
Must possess excellent oral and written communication skills, with the ability to express technical issues in “layman” terms.
Ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
5+ years administrative support or executive assistance
Must be professional and cooperative with a good aptitude for problem solving.
Prior experience in a pharmacy or home health company is of benefit.
Prior experience in a consumer related business is also of benefit.
Education and/or Experience:
1. Must have a High School diploma or Graduation Equivalent Diploma (G.E.D.) or Higher.
2. Intermediate computer skills and advanced MS Office experience with proficiency in MS Word, Excel, Access, Publisher and Outlook preferred. Perform filtering and sorting of data, V-lookup and other functions.
