Our client, a UHNW Investor and Philanthropist, is seeking a dedicated Executive/Personal Assistant to join their busy family office. This is a multifaceted position that requires a nimble and dedicated career Executive Assistant with a passion for driving efficiencies and truly creating efficiencies in the Principal's day to day. You will need to be highly nimble a creative problem-solver, and someone who is able to truly roll with the punches to tackle scheduling, communications across team, and engage in task management to oversee logistics and coordination between inside and outside business contacts and personal endeavors. We need someone who takes pride in what they do and is a champion with a track record of success.
This is an onsite position at the Executive's home and will require you to work extended hours as needed at times. This is a rewarding role for the right individual who truly enjoys being a go-to right arm.

Key Responsibilities:
In this multi-faceted role, you will be the right hand to a busy family, ensuring their day-to-day and future plans are executed seamlessly.
Scheduling & Calendar Management & Planning
- Coordinate and manage the family’s complex calendar, including sports practices, games, school events, and other extracurricular activities.
- Proactively identify potential scheduling conflicts and resolve them efficiently.
- Ensure that everyone is where they need to be, when they need to be, without any stress.
- Communicate regularly with parents and children to ensure all commitments are understood and addressed.
- Think ahead and plan the family’s future events, travel, and commitments, keeping in mind both the immediate and long-term goals.
- Strategically manage and organize time to ensure that both parents are set up for success with their work and family obligations.
- Develop and maintain a streamlined system for handling all upcoming family priorities, including school holidays, sports seasons, and family vacations.
Data Collection & Organization
- Gather and neatly organize all important information related to the children’s schoolwork, sports schedules , and extracurricular activities into a well-maintained “family manual.”
- Ensure all critical contacts, forms, and school documents are readily accessible and up to date.
- Maintain detailed records of kids’ progress, achievements, and any other relevant information for easy reference.
- Oversee the inventory and organization of all items needed for the children’s activities—whether it’s uniforms, sports equipment, school supplies, or personal items.
- Ensure that everything is in the right place, fully stocked, and ready to go at all times.
- Conduct regular checks to ensure nothing is forgotten or missing as the kids head into their busy schedules.

Experience:
- Previous experience managing family logistics, scheduling, or personal assistant work is highly desirable.
- Familiarity with managing the needs of school-aged children or teens involved in athletics is a plus.
- Tech-savvy, with experience using calendar management tools, spreadsheets, and organizational apps.
