Imprimis is seeking an HR Specialist with a strong focus on onboarding for our client, a large and rapidly growing commercial property management firm with a nationwide presence. This role is ideal for a candidate with a minimum of 3 years’ HR administrative experience who is comfortable with ATS systems (UltiPro/UKG experience preferred) and thrives in a dynamic, fast-paced environment. ESSENTIAL FUNCTIONS
- Develops a collaborative partnership with hiring managers to ensure they are supported throughout the onboarding process, including education on hiring policies, practices, and systems.
- Leads the onboarding process by overseeing job postings, assessments, reference checks, offer letters, pre-employment screenings, and welcoming new hires.
- Ensures accurate entry of candidate data in HRIS, monitoring and following up on incomplete or missing documentation to maintain compliance and streamline onboarding.
- Supports hiring managers in effectively navigating ATS and HRIS systems to ensure onboarding consistency and efficiency.
- Assists the Assistant HR Manager in crafting innovative strategies for new hire engagement and long-term retention.
- Provides essential administrative support to the HR team, especially in areas impacting onboarding and new employee integration.
- Manages accurate HR records within UKG for all associates, focusing on new hire data and compliance documentation.
- Cross-trains in other HR functional areas to ensure a comprehensive approach to employee integration.
- Stays current with changes in employment law and HR best practices, especially in the property management industry, to enhance the onboarding experience.
- Maintains strict confidentiality of all personnel information.
- Performs additional duties as directed by the Assistant HR Manager or other HR department leaders.
- Occasional overtime/weekends may be required.
QUALIFICATIONS
- High school diploma required; college degree preferred.
- 3 to 5 years of HR administrative experience with a strong focus on onboarding.
- Proficient in Microsoft Office – Word, Excel, and PowerPoint.
- UltiPro (UKG) experience preferred.
- Professional communication skills, both verbal and written.
- Excellent planning, analytical, and problem-solving skills.
- Strong customer service and organizational skills, with a team-oriented attitude.
- Proven ability to work effectively in a fast-paced, deadline-driven environment.
- Strong time management skills with acute attention to detail.
- Bilingual in Spanish is a plus.
