Job Overview
The Compliance Specialist for Warehouse Regulation Compliance Management ensures that the company's warehouse facilities operate in full compliance with all local, state, and federal regulations. This role involves monitoring regulatory changes, implementing necessary operational changes, conducting audits, and providing training to warehouse staff to meet compliance standards. The Compliance Specialist plays a key role in protecting the company from potential legal risks and promoting a safe and compliant workplace.
Key Responsibilities
Regulatory Compliance Monitoring
- Stay updated on applicable regulations, including OSHA, EPA, local fire codes, and other safety and environmental regulations that affect warehouse operations.
- Monitor new developments and changes in laws and regulations affecting the company’s warehouse operations.
- Ensure compliance with specific regulatory programs, such as WAIRE (Warehouse Actions and Investments to Reduce Emissions) and other air quality management programs.
Auditing and Reporting
- Conduct regular audits and inspections of warehouse facilities to ensure compliance with all regulatory requirements.
- Document and report on findings, and non-compliance issues, and recommend corrective actions.
- Prepare and submit required regulatory reports, including emissions, safety inspections, and other compliance-related documentation.
Policy Development and Implementation
- Develop, update, and enforce warehouse compliance policies and procedures to ensure regulatory adherence.
- Collaborate with management to implement changes in warehouse operations in response to regulatory updates.
- Develop standard operating procedures (SOPs) for warehouse operations that align with regulatory requirements.
Training and Education
- Conduct training sessions for warehouse employees on regulatory compliance, safety protocols, and company policies.
- Ensure all employees are aware of, and understand, the compliance requirements and their roles in maintaining compliance.
- Develop training materials and resources to support compliance awareness.
Incident Management
- Respond to compliance-related incidents, including safety violations or environmental hazards.
- Investigate incidents, identify causes, and work with management to implement preventive measures.
- Maintain records of all incidents and corrective actions taken for compliance tracking and reporting.
Collaboration and Communication
- Work closely with warehouse managers, supervisors, and employees to promote a compliance-focused culture.
- Serve as the primary point of contact for regulatory agencies and represent the company during inspections.
- Communicate effectively with management on compliance status, audit results, and areas of improvement.
Risk Management
- Identify and assess compliance risks within warehouse operations and develop strategies to mitigate them.
- Work with legal and compliance teams to address regulatory risks and ensure adherence to internal policies.
- Monitor risk factors and advise management on any necessary adjustments to warehouse processes.
Qualifications
Education: Bachelor’s degree in Business, Environmental Science, Occupational Safety, or a related field.
Experience: Minimum of 3-5 years of experience in compliance, safety, or regulatory roles, preferably within warehousing or logistics industries.
Knowledge: Strong understanding of warehouse operations and relevant regulatory compliance requirements (OSHA, EPA, WAIRE, etc.).
Skills:
- Strong attention to detail and analytical skills for auditing and reporting.
- Excellent written and verbal communication skills.
- Ability to conduct training and educate employees on compliance matters.
- Proficiency in compliance management software or tools.
Certifications: Certification in compliance or safety management (e.g., Certified Compliance and Ethics Professional - CCEP, Certified Safety Professional - CSP) is a plus.
Work Environment
The Compliance Specialist will primarily work in an office environment, with possible travel to various facility locations. This position may require occasional after-hours work to respond to compliance issues or audits.This role is essential for ensuring that warehouse operations meet all regulatory standards, creating a safe environment, and protecting the company from potential fines, legal issues, and reputational risks.
