Role Description

This is a full-time on-site role for a Legal Secretary at McEllistrem Fargione Rorvig & Moe, PA in Minneapolis, MN. As a Legal Secretary, you will play a key role in supporting our attorneys with administrative tasks while ensuring smooth day-to-day operations. Your primary responsibility will be to assist in managing case files, preparing and proofreading documents, coordinating schedules, and maintaining strong communication between attorneys and clients.

Key Responsibilities

Provide general administrative and legal support to attorneys, including document preparation, filing, and client communications.
Serve as a liaison between clients and attorneys, managing phone calls, emails, and correspondence.
Initiate new client/matter openings, including conducting conflicts checks and preparing engagement letters.
Review and maintain attorneys’ calendars .
Create, edit, revise, redline, and proofread legal documents to ensure accuracy and compliance with firm standards.
Prepare and organize case files and manage document storage.
Perform other administrative duties as needed.

Qualifications

High School diploma or G.E.D. equivalent.
Minimum of 2 years of experience as a legal secretary or in a similar administrative role, preferably in a law firm environment.
Exceptional organizational skills with the ability to manage multiple tasks and deadlines.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.).
Excellent verbal and written communication skills.
Ability to handle multiple tasks in a highly demanding environment with tight time frames.
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook).
Strong attention to details, proofreading and organizational skills.
A proactive, detail-oriented approach to work with the ability to anticipate needs and take initiative.
Ability to work as a team member and communicate effectively with all levels of personnel.

Preferred Qualifications

Experience with legal management software (e.g., Caret Legal/Zola; Clio, iManage, or similar).
Strong knowledge of legal terminology, document formatting, and filing systems.
Knowledge of Minnesota state court rules and procedures is an advantage.

Compensation

$45,000-$60,000 annual salary
