We seek an experienced Administrative Assistant to implement our vision through project-oriented, timely operations. This role manages government contracts, oversees trainer schedules, ensures payroll accuracy, and supports the owner in launching membership programs. Applicants should value quality customer service and be proficient in technology and software like Asana and Google. Strong communication skills and a passion for team support are essential for success.
Responsibilities and Duties:
- Respond to emails and phone calls
- Draft letters and documents
- Schedule meetings
- Book travel and accommodations
- Manage a contact list
- Managing scheduling and training locations for training
- Prepare customer spreadsheets and keep online records
- Organize managers' calendars
- Perform market research
- Create presentations as assigned
- Address employee's administrative queries
- Provide customer service as the first point of contact
- Other executive admin responsibilities as needed
- Use customer management, project management, team management, and other software
Qualifications:
- A minimum of 2 years of proven experience as an Administrative Assistant or relevant role
- Ability to organize tasks for efficiency and prioritize work as needed
- (Preferred): Familiarity with current technologies, Google Drive, Asana, Pipeline, Jotform, etc
- Ability to learn new tools quickly
- Highly organized
- Able to follow the direction of the owner and communicate the mission clearly and effectively to the team
- Experience with word-processing software and spreadsheets
- Knowledge of online calendars and scheduling (e.g., Google Calendar, Acuity Scheduling links)
- Excellent phone, email, and instant messaging communication skills
- Excellent time management skills
- Solid organizational skills
- A team player who is proactive, flexible, results-oriented, and comfortable in a rapidly growing environment
- Ability to work independently with deadlines
- Experience using communication tools like Zoom, Teams
- The ability to creatively solve problems and create new solutions with the use of technology
