Project Manager (Part-Time)

Contract Type: Part-Time, Mornings (M-F)
Work Arrangement: Hybrid (Remote with in-person meetings once a week)
Role Overview: We are seeking a detail-oriented and driven Project Manager who will play a pivotal role in managing client relationships, overseeing project timelines, and ensuring seamless communication between our creative team and clients. The ideal candidate will have a strong understanding of project management methodologies, including Waterfall, Agile, Scrum, and Kanban, and know how to apply these frameworks effectively to ensure project success.
Key Responsibilities:
- Lead and manage the account management process, acting as the primary point of contact for clients.
- Collaborate closely with clients to understand their needs, goals, and expectations.
- Prepare and manage agendas for all client meetings, ensuring they align with project objectives.
- Develop and maintain key project documents, including Statements of Work (SOWs), agendas, and timelines.
- Oversee and manage 5-10 design clients, ensuring projects are delivered on time and within scope.
- Co-lead client meetings with designers, providing support and facilitating discussions.
- Deliver final approvals, ensuring all work meets both client and internal standards.
- Coordinate and produce project timelines using both Waterfall and Agile methodologies, in collaboration with the CCO and senior creatives.
- Track and manage all approvals from the CCO and clients throughout the project lifecycle.
- Plan and organize client meetings with the CCO and creative team, ensuring all stakeholders are aligned.
- Draft and circulate agendas for project kick-offs, ensuring all team members are informed.
- Take detailed notes during client meetings and send follow-up communications promptly.
- Update and maintain project management tools (e.g.,) to track Monday.com project progress and deliverables.
- Implement and manage Scrum or Kanban boards as needed, adapting to project-specific requirements.
- Conduct category research and provide insights to support designers in strategic project planning.
- Coordinate third-party vendor services and manage deliverables (e.g., developers, printers).
- Manage communication with internal and external clients regarding creative team deliverables.
- Provide detailed onboarding for new client projects, draft SOWs for CCO approval, and circulate approved proposals.
- Submit SOWs, coordinate and track changes, and secure final approvals.
- Circulate final SOWs/engagement letters to new clients and ensure proper documentation.
- Follow up with the Accounts Payable team regarding approved invoices and reimbursables.
- Conduct quality assurance on final deliverables, ensuring they meet client expectations.
- Assist with basic Figma and Adobe tasks, including exporting final assets.
- Support in-house copywriting and proofreading, ensuring all materials are error-free.
- Organize and maintain all in-house project folders and systems.

Qualifications:
- 2+ years of project management experience, preferably within a branding or digital design agency or in-house brand in a relevant category (lifestyle branding, retail, fashion, beauty, etc.).
- Proven experience in client service, project management, scheduling, and the approval process.
- Strong outreach skills and a proactive, solution-oriented mindset.
- Proficient in project/account management tools (e.g., Monday.com, Slack).
- Familiarity with design tools (e.g., Figma, Adobe Creative Suite).
- Ability to independently organize workflows and maintain best practices throughout the project lifecycle.
- Deep understanding of project management methodologies, including Waterfall, Agile, Scrum, and Kanban.
- Knowledge of the design process, including timelines, creative development, and production.
- Experience with copywriting and editing is a plus.
