We are currently seeking a motivated and detail-oriented Administrative Assistant to support our administrative and operational functions.
Job Description:
As an Administrative Manager/Assistant, you will play a crucial role in ensuring the smooth operation of our daily activities. You will be responsible for a variety of administrative tasks, with a particular focus on PEO management, payroll, benefits administration, client onboarding, and invoicing. The ideal candidate will possess strong organizational skills, a keen attention to detail, and the ability to work independently in a fast-paced environment.
Key Responsibilities:
- Coordinate with Professional Employer Organization (PEO) to manage employee-related administrative tasks.
- Ensure compliance with PEO guidelines and procedures.
- Serve as point of contact for PEO inquiries and communications.
- Assist in the preparation and processing of payroll on a bi-weekly basis.
- Ensure accurate recording of employee hours, deductions, and other payroll-related information.
- Collaborate with Finance to resolve payroll discrepancies and inquiries.
- Administer employee benefits programs, including health insurance, 401K retirement plans, and other employee benefits.
- Manage employee deductions and ensure compliance with applicable regulations.
- Act as a liaison between employees and benefits providers to address questions and concerns.
- Employee Onboarding & Offboarding
- Administer employee onboarding documents as needed, for full-time employees and contractors.
- Client Onboarding & Offboarding:
- Assist in the onboarding and offboarding process for new clients, ensuring a seamless transition.
- Prepare and distribute necessary documentation, contracts, and materials for new clients.
- Maintain up-to-date records of client information and onboarding progress.
- Generate and issue client invoices in a timely manner, ensuring accuracy and compliance with client agreements.
- Follow up on outstanding invoices and assist with collections as needed.
- Collaborate with the finance team to maintain accurate financial records and reporting.
Qualifications:
- Bachelor’s degree in Business Administration, Management, or a related field preferred.
- 2+ years of experience in an administrative or operational role, preferably in a corporate environment.
- Strong understanding of payroll systems and benefits administration.
- Proficient in Google Suite and familiarity with accounting software.
- Excellent organizational skills and attention to detail.
- Strong written and verbal communication skills.
- Ability to work independently and manage multiple tasks simultaneously.
- Previous experience with client onboarding and invoicing is a plus.
