Position Description: Business Coordinator
We invite you to be part of our G&A team. As a Business Coordinator, you will be tasked with the critical responsibility of ensuring that Mach delivers excellent customer experience from the initial contact to receiving products.
What would I be doing?
Sales Support:
- Develop proposals, presentations, business plans, and assist in negotiations.
- Coordinate discussions and follow-ups with customers to ensure all aspects of the sale process are covered.
- Review contract estimates, including proposed materials, production costs, etc., to ensure they are reasonable, profitable, and accurate.
- Maintain CRM data, ensuring all records are accurate and up-to-date.
Marketing and Event Coordination:
- Coordinate and manage the Marketing team regarding the company’s social media presence, content, and various media campaigns.
- Manage the trade show, conference, and expo events calendar, including registering for shows, ensuring payment of registration fees, and managing booth displays.
Customer Relationship Management:
- Develop and maintain strong relationships with key clients and stakeholders.
- Handle customer inquiries, complaints, and feedback, ensuring timely and effective resolution.
- Conduct customer satisfaction surveys and analyze feedback to improve service delivery.
Project Management:
- Coordinate and manage special projects, ensuring they are completed on time and within budget.
- Develop project plans, timelines, and milestones, and track progress.
- Collaborate with cross-functional teams to ensure project objectives are met.
Qualifications:
- Strong negotiation and mediation skills
- Possess superior attention to detail to spot inconsistencies in contracts
- Previous experience in customer service and strong verbal and written communication skills
- Able to work productively independently and as part of a team
- Ability to anticipate needs, deadlines and manage the sales and purchasing process according to strict schedules as required by the business.
- Demonstrated ability to lead constant improvement to process and a drive to always increase the efficiency and effectiveness of Sales efforts.
Education:
- Bachelor’s degree in Business Administration, Marketing, or a related field is preferred.
Experience:
- 3-5 years of experience in a business coordination, administrative, or project management role.
- Experience in a startup or fast-paced environment is a plus.
Technical Skills:
- Proficiency in Microsoft Office Suite and Google Workspace (Word, Excel, PowerPoint, Outlook, Gmail, Drive, Gdocs etc).
- Experience with CRM software (e.g., Apollo, Hubspot, Odoo) and project management tools (e.g., Odoo).
- Familiarity with financial software (e.g., Odoo) is advantageous.

Job Type: Full-time
Salary: $70,000.00 - $85,000.00 per year, dependent on experience and qualifications
Location: Ames, IA, Ely, IA or Westminster, MD
Hybrid work environment requiring at least two full days a week in the office.
