The individual in this role will collaborate closely with senior team members, including Managing Directors and Managing Partners.
Key Responsibilities
- Oversee the calendars of multiple senior managers with meticulous attention to detail, ensuring smooth coordination and prioritization of daily responsibilities.
- Arrange and manage intricate travel itineraries with care and efficiency.
- Promptly process expense reports, ensuring accuracy and timeliness.
- Organize logistics for Board of Directors meetings and various company events as required.
- Prepare and format content for both internal and external communications, including memos, emails, presentations, and reports.
- Support the progress of key deliverables, manage special requests, and contribute to the execution of last-minute projects.
- Collaborate as part of the broader facilities and administration team, providing assistance to fellow executive assistants as necessary.
Qualifications
- Proven experience as an Executive Assistant supporting senior leadership
- Strong attention to detail and a commitment to maintaining confidentiality
- Proficiency in Microsoft Office Suite (Word, Outlook, Excel, and PowerPoint)
- Exceptional interpersonal communication skills, both written and verbal
- Extensive experience managing schedules and workflows in a fast-paced setting
- Expertise in coordinating international travel, including multi-leg trips across different time zones
- A team-oriented mindset, comfortable working with a large group and reporting to a senior administrator
- Adaptability in dynamic environments and the ability to execute tasks where paths may be uncharted
- Willingness to provide executive support beyond standard work hours as needed.
