MUST HAVE LAW FIRM EXPERIENCE
RESPONSIBILITIES
Provide dedicated support to the Co-Chair, proactively manage dynamic calendars, detailed
travel arrangements, complex itineraries and comprehensive agendas.
Coordinate the scheduling of meetings and provide support, e.g. draft agendas, create
presentations, provide advance details to internal and external attendees, attended meetings, and recorded minutes.
Coordinate communication with all departments internally.
Assist in providing telephone help desk support to troubleshoot application questions.
Liaise with other members of management team and their assistants, follow up on action items.
General administration including answering and directing phone calls, filing, printing.
Track expenses according to itineraries, create and edit of expense reports and invoices.
Data and time entry utilizing various software applications and/or transcription of analog or digital dictation.
Document production and editing utilizing Windows, Microsoft Office ( Word, Excel and
PowerPoint), Microsoft Outlook, Litera Change Pro, Adobe Acrobat, and similar software.
Stay abreast of technology and software changes within the firm in order to be an 'expert' in
document preparation; attend all mandatory training classes.
Assist Word Processing Centers and legal staff in other offices as needed.
Other duties as assigned.
REQUIREMENTS
5+ years of providing executive level support, ideally in a law firm or professional services
organization.
Highly organized and able to manage sensitive correspondences, draft professional and
confidential responses and safeguard highly sensitive information
Excellent attention to detail, strong organization skills and excellent written and verbal
communication skills
Proficient in iManage, Chrome River, MS Office, and or similar systems.
Proficient knowledge of various HP and Xerox printers, color printers and scanners.
Knowledge of graphics programs such as Illustrator or desktop publishing is helpful.
Ability to work through complex document markups and instructions in a timely manner.
Ability to juggle various assignments simultaneously.
Flexibility to work overtime, including one weekend day per month, or change shift to
accommodate Firm needs.
