Retail Specialists, LLC is looking for an experienced Property Manager in its Birmingham, AL office. The Property Manager will report to the Director of Property Management along with the Property Controller. The Manager will be responsible for the day-to-day operations of a growing commercial real estate portfolio managed by Retail Specialists.
Responsibilities:
- Primary Contact for Tenants – Facilitating tenant requests and handling any property related issues
- Emergency Contact – Property Manager along with the Director of Maintenance will be the first person to be contacted regarding emergencies at any of the managed properties
- Tenant Lease Compliance – Ensure tenant compliance with lease documents including signage approvals, preparation of default notices, etc.
- Primary contact for all property related vendor relationships
- Regular inspections of all areas of the managed properties in order to make sure the properties are being well maintained
- Property Light Inspections when applicable
- Monitoring tenant build out progress, landlord work, and TIA reimbursement
- Property Operating and Capital Budgets – Work with Director of Property Management, Director of Property Maintenance, and Property Controller to assist in the preparation of annual operating budgets
- Monitoring Property Operating Expenses– Work closely with the Director of Maintenance to confirm we are performing in accordance with the budget
- Vendor and Service Provider Invoice Approval – All invoices for work completed at properties by vendors and service providers must be approved by the Property Manager
- Risk Management / Insurance Claims – Work with insurance agents and carriers to minimize potential liability risks at properties and confirm ADA compliance. Assist in processing insurance claims at properties
- Delivery and Surrender of Tenant Premises – Deliver tenant spaces at the time of lease execution and complete walk throughs upon lease expiration
- Facilitate maintenance requests from tenants and respond accordingly
- Obtain bids/proposals from vendors as it relates to routine service and property capital items
- Prepare and negotiate service contracts with all new vendors and providers and confirm these are up to date on an annual basis
- Confirm vendor and tenant insurance compliance
- Maintain up to date records for property inspections as it relates to fire, fire sprinkler, backflow, etc.
- Assist Property Controller with the timely completion of CAM reconciliations
- Maintain communication with both ownership and the leasing team regarding new leases, renewals, and amendments
- Facilitate property transitions alongside the property management coordinator
- Coordinates Tenant Estoppel & SNDA with Accounting Department
Experience and Eligibility Qualifications:
- 3-5+ years of real estate property management or related experience
- Yardi or related experience
- Bachelor’s Degree
- Communication proficiencies
