Join our HR Compliance team and help make a difference. The HR Compliance COE is a newer function for Hub. This is a great opportunity to join a new team that is still building, so this allows you to make your mark across Hub’s extensive company footprint in the US and Canada.
This role will report into the HR Compliance Lead who reports into the VP Corporate HR & Compliance. This position is a hybrid role based out of Hub’s beautiful offices at 150 North Riverside in downtown Chicago. In a hybrid position, the incumbent will be required to come into the office at least three days most weeks.
As the Human Resources Compliance Analyst, you’ll play a key role to champion a compliance framework that empowers leaders and employees to do their best while complying with national, state, and provincial regulatory requirements. In partnership with key stakeholders like the other HR COEs, the field HR teams and Employment Law, this role will help build and drive execution of Human Resource compliance initiatives across the US and Canada. The successful candidate will bring a passion for identifying and assessing regulatory obligations and human resource legal risks, building trust with HR stakeholders across functions and business groups, and driving clarity on risk mitigation solutions to support organizational success. The role will have a mix of strategic partnering and day to day responsibilities supporting the enterprise.
Key Responsibilities
Expert consultation: Offers advice and guidance to HR colleagues in the US and Canada who have HR compliance questions. Stays informed about employment laws, regulations, and industry best practices. Ensures HR practices including recruitment, hiring, onboarding, benefits and leave administration, performance management and terminations are compliant with applicable laws.
Education and guidance: Creates and leads development and education sessions for key stakeholders including HR, managers, and employees on a variety of HR Compliance topics using appropriate communication channels. Assists in the development and updating of HR policies and procedures. Communicates compliance-related information effectively with HR and other internal stakeholders at HUB.
Regulatory compliance: Drives initiatives that address regulatory requirements and are aligned with employee life cycle events including recruiting, on-boarding, employee development, employee experience, and off-boarding (employee moves and departures). Conducts compliance audits, analyzes and interprets data/trends, supports policy implementation, and prepares compliance reports for internal and external (regulatory agencies) stakeholders.
Data and records management: Produces complex Excel audit reports built through integrating data from separate Excel reports and then analyzes the data to ensure data integrity and accuracy prior to sharing with executives. Maintains accurate and confidential records related to HR Compliance activities including conducting audits, creating/updating policies/handbooks and practices, tracking to ensure required training is assigned and completed, submitting required government reports.
Compliance Project Work: Initially, a top-priority project with line-of-sight to executive leadership is HUB’s Consolidated Background Check Adjudication Initiative. This role will be a primary player on the Background Check Support Team. In addition, this position assists with business as usual and special initiatives including but not limited to employee lifecycle notices, company acknowledgements, USCIS Form I-9s, regulatorily required training and training system management, audits, and regulatory submissions, poster and notice requirements, and compliance reporting.
Skills/Experience Requirements
- At least five years of experience as an HR Business Partner, Legal Analyst, or Compliance Analyst in a large multi-state and multi-site company with 10,000+ employees. Prefer experience with a company with Canada, as well as U.S. operations.
- Bachelor’s degree in Human Resources, Business Administration, Political Science, English, Risk Management, or a related field.
- Demonstrated knowledge of US employment laws, including an understanding of the state/municipal regulatory framework required. Global and/or Canadian experience in HR or Legal/Compliance highly desirable, but not required.
- At least three years of demonstrated history of successfully applying regulatory obligations to HR policies and practices for a large, multi-state company.
- Prefer experience adjudicating new hire background check reports and compliance with FCRA and state/municipal equivalent laws.
- Demonstrated exceptional written and verbal communication, presentation, and interpersonal skills. Ability to convey complex information to various audiences.
- Proven collaboration skills when working with key partners across the company.
- Excellent demonstrated organizational, project management, and analytical skills.
- Demonstrated use of advanced Excel skills for data analytical purposes.
- Strong proficiency in Microsoft office tools (Word, PowerPoint, Outlook) required, and experience/expertise in a variety of HR Technology solutions (e.g., Cornerstone, Workday) preferred.
- Strong attention to detail.
- Ability to handle sensitive and confidential information with discretion.
- Proven ability to interact, present and influence at all levels in the organization.
- Demonstrated experience in interpreting regulatory language, applying that understanding to devise a compliance strategy and clearly increasing the knowledge level of other key stakeholders. Prior experience on a Compliance Team preferred.
- Ability to work in the grey/ambiguous areas to identify operational solutions that comply with regulations while satisfying business objectives.
- Change management experience, including influencing and leading through change.
