MD Squared Property Group is seeking a highly organized and proactive Administrative Assistant to support an executive in managing day-to-day tasks. This role is perfect for someone with a keen interest in real estate and excellent written and verbal communication skills. You will play a critical role in ensuring the smooth operation of the executive's office and assisting with various administrative tasks.
Key Responsibilities:
- Calendar Management: Coordinate and manage the executive's schedule, including meetings, appointments, and events.
- Travel Arrangements: Book travel, accommodations, and transportation for the executive and other team members as needed.
- Client Relations: Assist with client communications, including sending gifts, thank-you notes, and other client-focused tasks.
- Document Preparation: Prepare reports, presentations, and other documents as required by the executive.
- Inbox Management: Monitor emails on behalf of the executive, prioritizing and flagging important communications.
- General Support: Provide general administrative support, including filing, answering phones, and maintaining office supplies.
- Special Projects: Assist with ad-hoc projects and tasks as needed, particularly those related to real estate.
Qualifications:
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to maintain confidentiality and handle sensitive information.
- Interest in real estate is a plus.
- Previous experience in an administrative role is preferred but not required.
- Positive attitude and willingness to learn.
