A chemicals/manufacturing client is looking for a Procurement Assistant that will keep, maintain and manage stock and inventory of samples such as order new raw materials (samples) to suppliers as needed, and coordinate samples request from customers.
LOCATION: Fairfield, NJ 07004
POSITION: Procurement Assistant
PAY RATE: $18.41/hr.
CONTRACT: 4 months or longer
SHIFT: 1st shift, Mon – Fri, 9:00 am – 5:30pm
Job Responsibilities:
- Keeps, maintains and manages stock and inventory of Samples:
- Order new raw materials (samples) to suppliers as needed.
- Coordinate samples request from customers:
- Pick, input and dispatch sample requests for delivery to the customer.
- Responsible for the packing and posting of all samples and the related documents (Certificate of Analysis, MSDS).
- Handling of emails and phone calls relating to samples and interface with sales Team regarding questions.
- Enter into our database (Sales Force) all the administrative information related to sample request
- Keep good storage of the samples physically on the shelves and record digitally (update tracking file) including related documents
- Support Marketing teams with managing prototype stock and dispatch, Sample handling is 70% of the job
- Update Suppliers’ prices into ERP in a timely manner
- Reads, receives and distributes to the appropriate persons in the organization (Sales Teams, Marketing Teams) all communications and requests emerging from the professional digital platforms (Seppic US Website, Knowde or UL prospector platforms) or paper mails; collects information and dispatches it through internal email to ensure requests are managed in a timely manner.
- Assists the office teams, mainly Marketing and Sales, in their request and order process into the ERP (Microsoft Dynamics 365).
Requirements:
- Sales Force, Google platform, ERP (basic data entry)
- Attention to details and very rigorous in organization of the sampling room
- Strong sense of service and respecting timelines
- Written and verbal communication skills
- Microsoft Office or Google Tools software skills
- Telephone and emails skills
- Documentation skills
- Dependability, autonomy and professionalism
- Needs to be on the office 5 days a week
- Good interpersonal skills
Education and Experience Requirements:
- High school diploma required
- One to two years of office assistant and or supply experience
