Facilities Manager
Classification: Exempt
Reports To: Finance Director
Job Summary:
The Facilities Manager oversees all aspects of building functions and guarantees the
safety and functionality of all facilities. Duties include corresponding with staff and
contractors, planning maintenance work, maintaining records, and supervising
facilities staff. Our ideal candidate is well-versed in corporate facilities management
processes and exhibits high multitasking and organizational abilities.

Duties/Responsibilities:
• Responsible for managing and maintaining approximately 100,000 sq. ft. of
corporate office space located in our two physical locations in Atlanta,
Georgia and Birmingham, Alabama.
• Oversee the day-to-day property and building maintenance and upkeep of
the corporate facility.
• Manage vendor relations, including reviewing and approving invoices for the
facilities and office equipment services.
• Manage building access system including adding, deleting, and maintaining
employee access records and issuing electronic access devices.
• Ensure the interior and exterior of the office buildings are appropriately
managed and maintained. This includes, but is not limited to duties such as,
performing regular inspections of the building and providing a monthly
inspection report, scheduling, and overseeing any necessary maintenance,
scheduling required inspections, and keeping up with all COH building
requirements.
• Manage and oversee all internal office moves. Coordinate and oversee of all
construction and remodel projects.
• Responsible for responding to and handing building emergencies during
business hours and after hours on an as-needed basis.
• Supervise the facilities maintenance personnel.
• Supervise and manage the staff and performance of the Firm’s outsourced
copy and mailroom services.
• Maintain all major office equipment such as copiers, postage machine, ice
makers, etc. (excluding printers and scanners), including scheduling and
overseeing any necessary service calls, ordering necessary supplies, and
negotiating rental and maintenance contracts.
• Oversee office company supply inventory and place orders when necessary.• Work with firm’s financial officer to develop and implement corporate-wide
cost reduction programs.
• Oversee all tenant improvement projects, including all building capital
improvement projects.
• Manage building security protocols and external vendors.
• Manage and facilitate fire and other safety drills.
• Responsible for the Corporate Facilities annual budgets.
• Oversee firm’s off-site records repository (GRM) and associated systems;
including sending boxes off-site and submitting requests to retrieve boxes.
• As part of the onboarding process meet with all new hires to discuss facilities
and associated services
Education and Experience:
• Three to five years of on-site facilities management experience preferred;
experience in a law firm or professional services environment preferred.
• Build good working relationships with staff.
• Exemplary customer service skills are required.
Physical Requirements:
• Prolonged periods sitting at a desk and working on a computer.
• While performing the duties of this job, the employee is regularly required to
talk or hear. The employee frequently is required to stand; walk; use hands
to finger, handle or feel; and reach with hands and arms.
• Must be able to bend, lift, stretch, climb, and crawl to maintain equipment
and building.
• Must be able to access and navigate all areas of the facility.
• Must be able to lift up to 20 pounds occasionally.
Position Type/Expected Hours of Work:
• Full-time, in-office, position with a 40-hour work week.
• Workdays are Monday through Friday between the hours of 8:00 a.m. to
5:00 p.m.
• Occasional evening and weekend work may be required as job duties
demand.
Travel:
• Travel is required periodically. The firm currently maintains offices in Atlanta,
Georgia and in Birmingham, Alabama. Occasional travel to the Birmingham
office may be required. Travel reimbursement at the IRS mileage rate to
non-home site is provided
