Position Summary:
The Event Manager, Southern California is primarily responsible for planning, implementing, and coordinating all logistical support for the Events and Sponsorship department to ensure the successful execution of all San Diego events and conferences for Biocom California. This individual will report directly to the Director of Events and collaborate closely with both the Events & Sponsorship team.
Key Responsibilities:
- Plan, organize, and execute events from start to finish according to requirements, target audience, and objectives.
- Manage and oversee all logistical support for all San Diego events and assigned corporate-level events and conferences (virtual, live, or hybrid events), including but not limited to, site and vendor selection, event budget, catering needs, AV, marketing assets, and speaker liaison.
- Work in tandem with other Event Managers to act as virtual host and emcee for all webinar events across the state.
- Develop and oversee budgets for all San Diego events, serving as the liaison with accounting to reconcile events; Monetary revenue will be closely aligned with and tied to annual goals.
- Serve as the primary point of contact on-site during events, ensuring seamless execution from setup to teardown.
- Provide regular financial reports and updates to senior management.
- Create detailed event production timelines and ensure all deadlines are met.
- Conduct site visits and inspections to ensure venues meet event specifications and safety standards.
- Support and schedule all San Diego events and conference panel prep calls.
- Coordinate, manage, and distribute all internal planning and tracking documents, including project timelines, meeting action items, etc.
- Manage volunteers and participate at each event to ensure seamless success.
- Manage and oversee logistical support for multiple events at one time, with varying lead times, and prioritize deadlines, competing requirements and complexity levels.
- Work closely with the marketing department to ensure all event marketing materials are being created and executed in a timely manner to meet deadlines and promote events. Coordinate delivery of event marketing email campaigns and social media promotions.
- Undertake new assignments as necessary, as it relates to Biocom California’s San Diego events and corporate events and conferences.
- Other duties as assigned.
Minimum Qualifications:
- Bachelor’s Degree or similar experience, preferably in Hospitality or related field
- 5+ years meeting and event planning experience.
- Certified Meeting Professional (CMP) a plus.
- Must be available to work occasional early weekday mornings and evenings.
- Demonstrated ability to show initiative and to be a self-motivated, innovative, and independent thinker. Ability to be resourceful on independent projects.
- Must have excellent project management skills.
- Must have excellent organizational skills, including skill in effectively coordinating and organizing multiple details amid shifting priorities.
- Detail oriented, highly organized, team player who thrives in a fast paced, multi-tasking environment.
- Excellent interpersonal skills across a range of contacts including high-level executives, speakers, members, vendors, staff, and volunteers.
- Knowledge of Salesforce, WordPress, Zoom, AV equipment, and Canva a plus.
- Some travel may be required at times.
The anticipated salary range for candidates who will work in the San Diego area is $80,000 - $90,000. The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience within the job, type and length of experience within the industry, education etc. Biocom California is a multi-state and multi-regional employer and this salary range may not reflect positions that work in other states and regions.
