POSITION TITLE: Administrative Coordinator, Cedar Knolls, NJ
ABOUT US:
We are a rapidly expanding practice primarily specializing in Geriatric and Adult Psychiatry within long term care settings and also within our three outpatient office locations. Our growing team of expert psychiatric professionals serves several skilled nursing and subacute rehabilitation facilities in the state of New Jersey and its surrounding states. Additionally, we offer TMS (Transcranial Magnetic Stimulation) services at our Cedar Knolls and Raritan locations through our partner organization, Pelorus TMS.
POSITION SUMMARY:
This role is an administrative coordinator position located on-site in our Cedar Knolls location. The administrative coordinator will report to our office manager and work closely with the administrative team. The ideal candidate for this role will be a motivated and reliable self-starter with strong attention to detail, exceptional multitasking capabilities, and an ability to work under pressure. PRIMARY RESPONSIBILITIES:
- Facilitate the smooth execution of day-to-day practice operations including, but not limited to, provider requests, patient requests, email correspondence, and high-volume phone calls
- Assist with routine administrative functions including, but not limited to, voicemails, prior authorizations, schedule build, refills, record requests, letters/forms, scanning, and faxing
- Coordinate and schedule on-demand telepsychiatry evaluations
- Assist with A/R through QuickBooks Invoicing on a monthly basis
- Oversee patient billing inquiries spreadsheet
- Work closely with the administrative staff to increase and maintain the efficiency of office operations and procedures
- Mitigate patient concerns and office issues as they arise when possible
- Other duties as assigned

QUALIFICATIONS:
- Bachelor’s degree preferred
- Must have 3+ years of relevant experience, preferably in a health care setting.
WORK SCHEDULE:
- Full-time
- On-site
- Monday to Friday, generally from 9 am to 5 pm
