We are a small post-production studio in San Diego, California seeking a highly organized and proactive Part-Time Office/Project Coordinator to join our team. This is a hybrid role, allowing a balance between in-office work and remote coordination. Responsibilities:
- Project Coordination: Assist with managing timelines, deliverables, and communication for various video production and post-production projects.
- Client Communication: Serve as a point of contact between clients, vendors, and the production team to ensure smooth workflow and project updates.
- Scheduling & Calendar Management: Maintain the team’s schedule by coordinating meetings, project milestones, and deadlines.
- Office Management: Handle general administrative tasks such as filing, answering phones, ordering office supplies, and maintaining organizational systems.
- Document Preparation: Assist in preparing project reports, presentation decks, and client correspondence.
- Budget Tracking: Help track project budgets and expenses, ensuring projects stay on track financially.
- File Management: Organize and maintain both physical and digital files, ensuring proper version control and accessibility for team members.
- Vendor Coordination: Communicate with outside vendors for project and internal needs.
Qualifications:
- Previous Experience: 1-2 years of experience in a similar role, preferably within a post-production, ad agency, or media environment.
- Strong Organizational Skills: Ability to manage multiple projects and deadlines simultaneously with attention to detail.
- Excellent Communication: Strong verbal and written communication skills to handle client and internal communication professionally.
- Technical Proficiency: Familiarity with project management workflows, and an understanding of post-production workflows would be a plus.
- Self-Motivated: Capable of working independently and managing time effectively in both remote and in-office environments.
- Problem-Solving: Ability to anticipate challenges and propose solutions to keep projects on track.
Hours & Compensation:
- Part-time position (20-25 hours per week).
- Flexible hybrid schedule with some in-office days required.
