*This is a 5 days onsite role, Monday through Friday with standard business hours. It is a 6-month contract with possible extensions*
We are seeking a dynamic and proactive Operations Specialist to join our client in the Durham, NC area. This individual will be the first face people see when entering the building and will play a crucial role in managing daily operations. The ideal candidate will have excellent customer service and communication skills, experience managing phone systems, coordinating calendars, scheduling and aligning conference rooms for meetings, and supporting the Executive Director.
Key Responsibilities:
- Front Desk Management: Serve as the first point of contact for visitors, providing a welcoming and professional presence.
- Phone System Management: Handle incoming calls, manage phone systems, and direct inquiries appropriately.
- Calendar Coordination: Coordinate and manage calendars for the Executive Director and other key personnel.
- Meeting Scheduling: Schedule and align conference rooms for meetings, ensuring all necessary arrangements are made.
- Proactive Support: Anticipate and address the needs of the Executive Director and community members, providing proactive support.
- Customer Service: Deliver exceptional customer service to all visitors and community members.
- Administrative Tasks: Assist with various administrative tasks as needed to support the smooth operation of the office.
Requirements:
- Proven experience managing phone systems, coordinating calendars, and scheduling meetings.
- Phenomenal customer service and communication skills.
- Proactive thinker with the ability to anticipate needs and solve problems efficiently.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and priorities effectively.
- Experience supporting executive-level staff is a plus.
Compensation: $20/hr to $22/hr.
Exact compensation may vary based on several factors, including skills, experience, and education. Benefit packages for this role will start on the 31st day of employment and include medical, dental, and vision insurance, as well as HSA, FSA, and DCFSA account options, and 401k retirement account access with employer matching. Employees in this role are also entitled to paid sick leave and/or other paid time off as provided by applicable law.
