Primary Services is excited to announce the role of Executive Assistant - Finance for our client, a leading energy company. As a Senior Administrative Assistant, you will support the Vice President (VP) of the Tax department and collaborate closely with other Executive Assistants to ensure seamless coordination at the executive level. This role offers a blend of high-level administrative duties, calendar management, and event coordination, making it ideal for experienced professionals looking to contribute to a large-scale organization.
Responsibilities
- Manage VP's communications, correspondence, and calendar, ensuring smooth coordination of meetings and events.
- Coordinate travel arrangements, prepare expense reports, and ensure timely submission for the VP and department leaders.
- Organize departmental meetings and events, both on-site and off-site, in collaboration with the management team.
- Act as the office manager, overseeing office supplies, mail distribution, and facility maintenance.
- Facilitate onboarding and offboarding processes for department employees.
- Create and manage IT and maintenance requests, following up on progress to completion.
- Liaise with external departments and companies to ensure efficient departmental operations.
- Assist with budget planning, special projects, and departmental initiatives.
- Maintain confidentiality and adhere to all safety policies and site regulations.
Qualifications
- Bachelor’s degree preferred.
- 5+ years of administrative experience, including at least 2 years supporting executives.
- Proficiency in Microsoft Word, Excel, and PowerPoint; SAP experience preferred.
- Experience in event and meeting planning.
- Expertise in calendar management and domestic/international travel arrangements.
- Ability to manage multiple tasks simultaneously with strong prioritization and time management skills.
- Written and verbal communication skills, with the ability to interact in an international environment.
- Capable of maintaining confidentiality and building strong internal relationships.
