We are seeking a highly skilled and detail-oriented Trademark Paralegal/Trademark Administrative Specialist to join our team. You will be responsible for managing trademark-related administrative tasks, coordinating with docketing vendors, and supporting the trademark team with various formalities and operations. You will bring a combination of excellent organizational skills, strong communication abilities, and the capability to work independently as well as collaboratively.

Work Schedule: A hybrid work schedule with onsite presence required 2-3 days a week.
CONTRACT LENGTH: One year
COMPENSATION: $35/hour
WHAT YOU'LL DO:
File-Keeping and Docketing Management:
- Oversee and manage day-to-day interactions with the docketing vendor, including fielding questions, solving problems, and liaising with system representatives.
- Update the Trademark Docketing Playbook as necessary.
- Manage TM Registration and Renewal Certificates: maintain physical copies and ensure they are properly stored.
- Scan and input physical certificates into the system.
- Retrieve certificates upon request.
- Handle special projects as assigned.
Reporting:
- Prepare and distribute weekly Trademark Docket Reports.
- Generate Annual Trademark Renewal and Maintenance Reports.
- Compile Quarterly TM Metrics Reports.
- Fulfill ad-hoc Anaqua report requests, such as matter-specific portfolio reviews and reporting.
- Generating TM schedules for agreements.
Formalities:
- Maintain a tracker of all documentation requests, including signatures, POAs, affidavits, etc., from the Chief Trademark Counsel.
- Support the execution of agreements (notarization, legalization, apostille) via DocuSign and/or paper copies.
- Assist with the review and execution of Powers of Attorney (notarization, legalization, apostille) as needed.
TM Team Operations:
- Manage shared documents, folders, and resources.
- Organize team meetings, including creating agendas and maintaining minutes/notes for follow-up actions.
- Support the engagement of new and existing outside counsel, including handling engagement letters, budgets, Anaqua codes, and supplier setup.
- Assist with event planning for outside counsel meetings at INTA (1-2 times per year).
- Provide other ad-hoc administrative support to the TM team as required.
WHAT YOU'LL BRING:
- Ability to work collaboratively within a team and independently as required.
- Strong attention to detail with excellent organizational skills, especially in managing physical and electronic legal files.
- Proactive approach with the ability to take ownership and responsibility for tasks, including providing status updates and ensuring timely completion.
- Effective communication skills, both verbal and written.
Experience and Education:
- Minimum of 5 years of relevant experience in trademark docketing and legal formalities.
- Experience with international documentation formalities such as legalization and apostille is preferred.
- Notary Public certification is required.
- Proficiency in DocuSign and FedEx systems.
- Advanced skills in Microsoft Office Suite (Excel, PowerPoint, and SharePoint preferred).
- Familiarity with Anaqua software is a plus.
- Preferably holds a Bachelor's degree in Legal Assistant or Paralegal Studies from an ABA-accredited university.
