Role Description
This is a full-time on-site role for an Executive Assistant at ADACI. The Executive Assistant will be working directly with the owner to rebuild ADACI's operational structures and growth and maintenance systems.
Self-management and assistance with implementing systems to improve efficiency and growth is a primary focus.
All of the general executive administrator and office manager duties are included, such as gracefully interacting with clients, sending out emails, documentation filing and management, sending invoices and invoice reminders, scheduling annual training and education, organizing the office, ordering supplies, running other errands, and ensuring the smooth operation of the office and owner.
Being that taxes and accounting are currently our primary service offerings, the Executive Assistant will need to submit to training in taxes and accounting and learn tax and accounting jargon to assist our clients with corraling and/or providing needed documents and finding answers to basic client requests.
They will need to learn how to use the following apps and websites, not limited to:
- Google Business Suite
- Microsoft Suite
- Apple
- QuickBooks Online
- ProConnect Tax Online
- Evernote Teams
- Dropbox
- DocuSign
- eFax
- Adobe Acrobat
- Canva
- YouTube
- LinkedIn
- MailChimp
The Executive Assistant will also assist with certain marketing efforts surrounding sending email blasts, and minor content and video production and posting.
Qualifications
- 3+ years of experience
- Perform other administrative and secretarial duties as they arise
- Strong communication skills
- Excellent organizational and time management abilities
- Ability to maintain confidentiality and professionalism
- Shrewd attention to detail
- Ability to assist with updating social media posts and website functionality
- Self-learning
- Some project management
- Some budgeting
- Proficiency in Microsoft Office Suite
- Proficiency in Google Business Suite
