Job Title: Ocean Import Coordinator

Job Summary:
We are seeking an experienced and detail-oriented Ocean Import Operator to join our logistics team in Boston, MA. The successful candidate will be responsible for overseeing and coordinating the importation of ocean freight shipments from overseas suppliers to U.S. ports. You will manage all aspects of the import process, including documentation, customs clearance, and client communication. This role requires excellent organizational skills, attention to detail, and a strong ability to collaborate with various stakeholders.
Key Responsibilities:
Shipment Coordination:
- Manage and coordinate the import of ocean freight shipments, ensuring timely delivery from overseas origins to U.S. destinations.
- Liaise with shipping lines, customs brokers, warehouses, and trucking companies to track and facilitate the movement of goods.
- Prepare, review, and process import documentation, including arrival notices, bills of lading, commercial invoices, and customs paperwork.
- Ensure compliance with U.S. Customs regulations, FDA, USDA, and other relevant import authorities.
Customs Clearance:
- Work closely with customs brokers to ensure timely clearance of goods.
- Monitor and follow up on customs release status, identifying and resolving any customs holds or delays.
- Stay informed on changes to U.S. import regulations and ensure compliance with applicable laws.
Customer Communication:
- Act as the primary point of contact for clients regarding import shipment status and documentation.
- Provide timely and accurate updates to customers, addressing inquiries and resolving any shipment-related issues.
- Ensure a high level of customer satisfaction by delivering proactive service and support.
Vendor & Carrier Management:
- Negotiate rates and manage relationships with ocean carriers, drayage providers, and warehouses.
- Monitor carrier performance and address any service-related issues or delays.
- Ensure competitive pricing and maintain strong relationships with service providers to optimize cost efficiency.
Documentation & Reporting:
- Maintain accurate records of shipments, tracking information, costs, and vendor performance.
- Prepare reports for management on shipment lead times, costs, and other performance metrics.
- Ensure all import documentation is complete and correctly filed for compliance and audit purposes.
Problem Solving:
- Identify potential issues in the import process and work proactively to resolve them.
- Handle any claims or disputes related to shipment damage, delays, or misdeliveries.
- Collaborate with internal teams (sales, warehouse, accounting) to streamline operations and resolve cross-departmental challenges.
Qualifications:
- Minimum of 2 years of experience in ocean import operations or international logistics.
- Knowledge of U.S. Customs regulations and import procedures.
- Proficient in using freight forwarding and logistics software systems.
- Strong organizational skills and the ability to manage multiple shipments simultaneously.
- Excellent verbal and written communication skills.
