Job Summary:
Q Consulting is seeking an experienced Executive Assistant to support our client’s senior leadership team. In this role, you will be responsible for managing executive scheduling, preparing strategic plans, and organizing meeting materials. The dynamic nature of this position requires a proactive, highly organized professional with excellent time management skills and the ability to interact across a broad range of individuals at all levels.
Key Responsibilities:
- Coordinate and manage executive scheduling, including heavy calendaring and daily agendas
- Prepare and organize strategic plans and meeting materials for executive leadership, including planning executive-level meetings, creating detailed agendas, sending calendar invites, reserving meeting rooms, and coordinating logistics such as lunch or coffee deliveries.
- Serve as a trusted partner by connecting projects, critical business information, and providing support to drive business priorities
- Arrange business travel and process expense reports for executives and select staff members
- Provide support in the production of high-quality reports, presentations, and invoices
- Communicate with senior executives and clients with professionalism, discretion, and confidentiality
- Assist with tech team liaison needs and manage other related projects as assigned
Qualifications:
- 3-5 years of experience as an Executive Assistant supporting senior executives
- Proficient in Microsoft Office Suite (PowerPoint, Excel, Outlook, Word)
- Advanced user of Microsoft Outlook’s Calendar Delegation functions
- Strong organizational and multitasking abilities with excellent interpersonal skills
- Self-starter capable of working independently under minimal supervision
- Ability to handle confidential matters with discretion and sound judgment
- Familiarity with financial services is a plus, though not required
