Nexus Advisors is a client-focused financial advisory firm, dedicated to helping individuals and businesses achieve their financial goals. We are currently seeking a motivated and detail-oriented Office Administrator to join our team and support our growing insurance sales operations.
Key Responsibilities:
- Implement and oversee the client meeting experience
- Coordinate service requests, appointments, and communications (mail, phone, email, fax)
- Set up and manage client records (both physical and digital)
- Manage birthday and client special event communication, including gifts and cards
- Assist with the smooth flow of new insurance business operations
- Support revenue-generating activities in the pipeline
Primary Tasks:
- Greet clients and ensure conference room prep and upkeep
- Set up and maintain client e-folders and CRM records
- Address and prepare birthday and thank you cards for clients; remind advisors to write personalized messages
- Arrange for gifts for client birthdays, anniversaries, and other special occasions
- Manage incoming service requests, assign tasks, and process communications
- Prep paperwork applications for insurance, including ordering exams and following up on underwriting and APS
- Keep clients informed throughout the insurance process and update workflows accordingly
- Follow up on pending business and coordinate policy delivery
Technology Knowledge, Skills, and Abilities:
- Proficiency in CRM systems for managing client data and workflows (experience with Salesforce, Adviosr360 or similar platforms preferred)
- Strong knowledge of Microsoft Office Suite, particularly Word, Excel, and Outlook
- Ability to manage electronic filing systems and client e-folders efficiently
- Familiarity with insurance-specific software and tools, including proposal generation and underwriting systems
- Knowledge of digital communication tools for managing phone, email, and fax communications
- Comfortable with technology used for ordering and following up on insurance exams and application processes

- Attention to detail, ensuring all tasks are double-checked, cross-checked, and completed without errors or mistakes
- Represents the firm professionally in all communications, ensuring they align with the firm’s brand and standards
- Takes ownership in maintaining the high quality of client interactions and ensuring seamless communication on behalf of the firm
- Highschool Diploma Required. Some College preferred
- Technology, Customer Service Certifications highly desirable
