Job Summary:
The ideal candidate will be a hard-working professional with excellent communication skills, able to undertake a variety of administrative and purchasing tasks and work diligently under pressure in an industrial setting. The successful candidate will play a key role in supporting the smooth operation of the site and comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. Additionally, they will facilitate communication between corporate, production, and finance to promote an efficient supply chain for all internal and external customers. For inventory, the successful candidate will organize and monitor the storage and distribution of our product, material, and supplies ensuring optimum efficiency and productivity with an eye on all stages of the order and production cycle.
Primary Responsibilities:
- Manage day-to-day administrative tasks, including but not limited to purchasing, internal communications, inventories, daily production and sales reports, maintaining production schedules, etc.
- Assist with accounts payable and receivable, including processing invoices, reconciling purchase orders, and tracking expense.
- Collaborate with the finance team to ensure accurate and timely financial reporting.
- Manage the procurement process, including research suppliers, obtaining quotes and placing orders for materials and supplies.
- Track inventory levels, ensuring that production materials and supplies are ordered and available to avoid delays.
- Negotiate pricing and terms with vendors to optimize costs and delivery schedules.
- Maintain accurate and up-to-date records related to production, safety, equipment maintenance, and regulatory compliance.
- Prepare and submit required reports related to operations, safety inspections, and production metrics.
- Ensure compliance with industry regulations such as MSHA, OSHA and other applicable regulations.
- Collaborate with the operations team to ensure efficient production scheduling, workflow optimization, and resource allocation and troubleshoot operational issues and escalate to the plant manager as needed.
- Become the subject matter expert for the companywide ERP implementation at the facility.
- Assist with the coordination of special projects.
- Assist with processing payroll on a weekly basis.
- Communicate with corporate office on a frequent basis regarding budgeting, HR matters, invoicing and other matters as required.
- Assist in monthly inventories and prepare end of month reports.
- Provide general support to visitors who visit the office and plant.
- Assist in the onboarding process for new hires and act as a liaison with corporate HR office.
- Maintain a clean, neat, and public ready area.
- Other duties as assigned.
Minimum Qualifications:
- Bachelor’s degree in business administration, operations management, accounting, or related field preferred.
- Accounting knowledge is required.
- ERP experience is required.
- Must be able to read and understand English and be proficient in business communications.
- Excellent computer skills with experience in MS Office (especially Outlook and Excel) is required.
- Ability to work with limited supervision and achieve results.
- Must be detail oriented; possess superb follow up and auditing skills.
- Must have ability to prioritize and multi-task in a fast-paced work environment.
- Must have clear and concise verbal communication skills.
- Must have a valid drivers license
