Job Overview:
We are seeking a dynamic Executive Assistant to support our Chief Executive Officer in steering the company towards greater heights. The ideal candidate should be proficient in the realms of real estate, hospitality, and short-term rentals, coupled with an ability to navigate industry tools and platforms with ease. This role demands an individual who embodies dedication, discretion, and exceptional organizational skills, prepared to work six days a week and be available on weekends.
Key Responsibilities:
Administrative Support:
- Manage the CEO's calendar, scheduling meetings and appointments meticulously.
- Coordinate internal and external communications, ensuring the flow of information is timely and accurate.
- Prepare and edit correspondence, communications, presentations, and other documents.
Real Estate Expertise:
- Utilize and manage MLS, Zillow, and other industry platforms proficiently.
- Assist in the acquisition and management of luxury properties.
- Liaise with relevant departments to ensure the highest standards are maintained in our property portfolio.
- Draft lease agreements, offers, addendums, and other documents using CAR forms proficiently.
Client Relations:
- Offer first-class support and services to our high-profile clientele.
- Develop and maintain a comprehensive database of clients and key industry contacts.
- Collaborate with the concierge team to provide bespoke experiences for our clients.
Project Management:
- Assist in the planning and execution of projects.
- Coordinate with various departments to ensure project objectives are met.
- Monitor industry trends and provide insights to help steer company decisions.
Qualifications:
- Real estate license (preferred)
- Proven experience as an Executive Assistant or in a similar role, preferably in the real estate or hospitality industry.
- Familiarity with short-term rental platforms and operations.
- Proficient in using MLS, Zillow, and related industry platforms.
- Knowledge and experience in using CAR forms to draft lease agreements, offers, addendums, etc.
- Exceptional organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and demonstrate a high level of discretion.
- A proactive approach, with the ability to work independently and take initiative.
- Bachelor's degree in Business Administration or a related field (preferred).
Additional Requirements:
- Willingness to work six days a week, including availability on weekends.
- Ability to adapt to a fast-paced work environment and manage time effectively.
