Job Summary: The Imaging Specialist will play a critical role in managing the organization’s document imaging processes. This position is responsible for preparing documents for scanning, ensuring accurate data entry, and maintaining high-quality standards throughout the scanning and reprographics process. The ideal candidate will have previous copy/reprographics experience and proficiency in handling large volumes of documents in a corporate or legal environment.
Key Responsibilities:
- Prepare documents for scanning by removing staples, binder clips, and other bindings to ensure documents are ready for processing.
- Operate scanning equipment and perform batch printing/scanning of various document types, ensuring proper organization and labeling.
- Apply Optical Character Recognition (OCR) to scanned documents to make them searchable.
- Perform data entry tasks related to scanned documents, ensuring accuracy and completeness of all records.
- Conduct quality control checks on scanned documents to ensure they meet the organization’s standards for clarity, accuracy, and format.
- Monitor and maintain scanning equipment, troubleshooting minor issues as needed to ensure seamless operations.
- Assist in organizing and storing physical and digital copies of documents in compliance with company standards.
- Collaborate with team members to complete scanning projects efficiently and on time.
- Follow legal and company-specific guidelines for the handling and destruction of sensitive documents.
Qualifications:
- Minimum of 2 years of experience in a similar role, preferably within a corporate or legal environment.
- Strong familiarity with reprographics processes, including batch printing and scanning.
- Proficient in document preparation, including removing staples, binder clips, and organizing documents for scanning.
- Experience with OCR software and techniques.
- Attention to detail and a focus on quality control in all aspects of scanning and data entry.
- Strong organizational skills and the ability to handle large volumes of documents efficiently.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team in a fast-paced environment.
