Key Responsibilities of the C-Suite Executive Assistant:
- Proactively manage executives’ calendar, coordinating high-level meetings and appointments across multiple locations.
- Oversee travel arrangements and prepare necessary materials for internal and external engagements.
- Ensure timely and accurate submission of expense reports.
- Occasionally assist with personal matters, including scheduling family appointments.
- Serve as a trusted gatekeeper, exercising discretion and professionalism in all interactions.
- Provide flexibility and responsiveness, especially when the executive is in town or during periods of critical deadlines.
- Collaborate with other Executive Assistants, particularly in support of board meetings and firm-wide events.
- Assist with minor scheduling requests and routine expense reports.
Qualifications of the C-Suite Executive Assistant:
- Minimum of 5 years of administrative experience, preferably supporting C-level executives.
- Exceptional organizational skills with a keen attention to detail and the ability to manage competing priorities in a fast-paced environment.
- High level of maturity, discretion, and the ability to work effectively as part of a collaborative team.
