Currently we are seeking a Marketing Coordinator to support the operations of the brand team by ensuring initiatives are executed in accordance with global budget and project schedule.
The primary responsibility of the Marketing Coordinator is to coordinate incoming creative requests, organize and maintain all brand files, process and track invoices and budgets, assist with logistics for shoots and events, and assist the Global Brand Director with special projects. You may assist with other administrative duties as needed.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Special Projects:
Support Senior Global Brand Director on special projects including, but not limited to:
- Vendor and software research and cost analysis.
- Internal and external surveys.
- Charity initiatives.
- Coordinating contract feedback and approvals from legal team.
- Actively participate in continuously seeking ways to improve workflow procedures, best practices, policies, etc.
Photo Shoots:
For local shoots:
- Assemble casting document based on all model submissions received.
- Communicate with models to confirm additional information needed and final booking.
- Order wardrobe needed for all models as directed by the team.
- Prep all items needed by the team for on-site logistics: wardrobe documents, model release forms, payment envelopes, etc.
For all shoots:
- Track photography budget expenditures and provide per shoot analysis including model and wardrobe costs, per photo costs, etc.
Trade Shows:
- Attend all meetings with internal and external teams related to trade show booth development and design.
- Oversee creative requests, project management, quotation, and file send for all trade show print collateral.
- Assist with booth planning and creative development.
- Assist with other trade show needs including giveaways and logistics as needed.
Creative Project Management:
- Process all incoming creative requests from global regions to the brand marketing team.
- Collaborate with other brand team members as needed to populate requests with the detail and assets necessary for creative to execute.
- Assign all external creative requests and project manage the review process.
- Act as the internal subject matter expert on team project management software (Wrike).
- Research and evaluate other project management tools and create a proposal for either remaining with the current tool (Wrike) or implementing a new tool.
- Develop repeatable processes and workflows.
- Provide follow up notes from all relevant meetings, including clear next steps.
Budget:
- Process all incoming invoices, save to server and track in internal budget document.
- Provide a monthly update on YTD budget expenditures to Chief Marketing Officer and Senior Global Brand Director.
- Create and maintain reports on department expenses including out-of-house creative resources and average shoot costs.
Filing:
- File all completed graphic and video projects and edited photos appropriately on the internal server and digital asset management system (DAM).
- Send monthly recap to customers of new marketing collateral available on the DAM.

REQUIREMENTS AND QUALIFICATIONS
Experience & Education:
- One (1) to three (3) years of administrative, marketing, or project management experience in a corporate environment.
- College degree related field or equivalent combination of training and work experience.
- Bachelors in PR, Marketing, Business.
Skills & Knowledge & Technology:
- Strong project management skills.
- Must be detail-oriented, organized and self-motivated with excellent time management and strong decision-making skills needed to manage workflow processes, timelines and deadlines.
- Ability to work well under pressure; demonstrates high degree of flexibility and ability to troubleshoot and prioritize demanding assignments.
- Familiarity with Project Management Software; Wrike preferred.
- Strong in Microsoft Office Suite applications; Advanced PowerPoint & Excel highly desirable.
- Knowledge of general office processes and procedures.
- Proficient in general office equipment (i.e., copier, scanner, laminator, etc.).
- Understanding of budget tracking and analysis of department expenses.
- Proficiency with MAC.
- Ability to learn new software with ease.

- Employees who are in Non-Exempt positions must accurately complete, obtain approval by their manager and timely submit a timecard in the form provided by the Company, as it coincides the Company’s bi-weekly payroll schedule.
- Ability to work overtime as business needs warrant, may include nights and weekends.
- Up to 10% travel possible as business needs warrant
