We are seeking a unique hybrid role of an Aesthetic Patient Care Coordinator and Medical Assistant for our new Los Angles location.This person will be responsible for patient care management, this includes but is not limited to the initial greeting of patients, ensuring all patient forms are completed in their entirety, optimization of sales and patient care opportunities, assisting our providers during services, taking before and after pictures as well as ensuring the comfort of our patients during their service.
Aesthetic Patient Care Coordinator Key Responsibilities:
Manage and respond to incoming client communications via phone, text message, and email
Provide clients with an educational and value-enriched consultative approach, to initiate, expand, and close sales opportunities
Answer all questions regarding costs and services (deferring to a provider or store manager (if necessary)
Schedule clients for initial and future appointments and enter all relevant client demographics into practice management system as directed
Resolve client questions and issues with the utmost care and attention to detail
Share customer feedback and information with other team members and managers to continuously evolve the client experience
Maintenance of client profiles across all systems: completing profiles for new clients, updating contact details when required, recording notes after all interactions with client, whether the interaction was via phone, text, email, or in-person
Nurture relationships and facilitate client reach outs proactively and on a regular basis
Deliver personalized service while meeting quality and productivity standards
Ensure confidentiality of client sensitive information
Radiate the JECT’s values and team goals
Ad hoc tasks that are consistent with the responsibilities of the position
Medical Assistant Key Responsibilities:
Responsible for assisting with all patient care, including but not limited to:
Prepping face sheets, medical supplies, and products for the day, charting all patients in EMR, medical photography, ensuring correct products have been dispensed after use
Responsible for all medical devices in-store - alert operations team of any issues that arise immediately
Responsible for all medical supplies, products, and medical devices to be fully functioning and available for all upcoming treatments
Ensure all safety protocols are being followed
Manage inventory for products and medical supplies
work with the operations team to order products and supplies
attend weekly inventory checks, performs daily inventory spot checks
Complete daily tasks
Ensure all client notes are added to electronic medical records system
Qualifications/ Skills
1 year patient care or customer service experience
Previous experience taking patient medical history and using EMR technology a plus
Phlebotomy experience a plus
Previous dermatology experience a plus
Strong interpersonal and communication skills, including both written & verbal
Ability to multitask in a fast-paced environment, whilst still being attentive to clients
Ability to work in a team setting
Personable, able to make clients feel comfortable
Ability to work a flexible schedule, (including nights & weekends)
