A nonprofit organization in New York City is actively seeking an organized and dynamic professional to join their staff as their new Executive Assistant. In this role, the Executive Assistant will provide support to the Chief Philanthropy & External Affairs Officer.
Responsibilities:
- Support all administrative needs of the Chief Philanthropy & External Affairs Officer
- Manage and oversee the CPO's calendar including all internal and external meetings
- Coordinate all travel for the CPO's participation in donor meetings, ADDF events, conferences, etc.
- Collaborate across departments on all related business matters, events and meetings.
- Manage, track, and submit expenses on behalf of the CPO and other team members as needed
- Participate in internal and external meetings as needed to facilitate next steps on behalf of the CPO.
- On-site meeting preparation and facilitation of logistics (catering orders, gathering supplies, prepping room, setting up AV, etc.)
- Support the Special Events and Philanthropy teams with administrative tasks as needed
Qualifications:
- Bachelor's degree plus 3-5 years of administrative experience supporting a senior executive. Experience in a non-profit setting highly preferred
- Outstanding time management and organizational skills with keen attention to detail
- Ability to manage multiple tasks and projects at one time while also remaining flexible to shifting priorities
- Ability to communicate and collaborate effectively with a wide range of individuals and stakeholders (I.e., staff, donors, scientists, board members, etc.) representing various backgrounds and industries
- High degree of emotional intelligence, professionalism, and reliability; a willingness to learn and apply, and a demonstrated history of taking initiative
- Excellent computer skills, especially Microsoft Office (Outlook, Word, Excel, and PowerPoint) and time management/organizational tools such as Monday.com
