Summary of Position
The Office Administrator will provide key coordination and administrative support to various Innovation & Development (I&D) executives and team members. In this role, the individual provides support on the day-to-day operations of the I&D function. Responsibilities include assistance in administrating key departmental activities, meeting organization from small to large, expense reimbursement processing, invoice processing, travel planning, compiling and distributing various time and spending reports, shipping of domestic and international packages and performing lab 5S walk throughs. The role will also be involved in the preparation of operational and presentation materials for executive level meetings, coordination of recruiting events, and industry related conferences.
Primary Responsibilities
- Serve as a key member of the executive I&D leadership team supporting our global leaders and their teams
- Assist with planning, scheduling, and administering of key departmental activities on a global basis, including travel, logistics, and agenda preparation
- Preparation of meeting materials, i.e. Power Point Presentations, scheduling conference calls and web based meetings
- Note taking at meetings and distribution of minutes (ie. Staff meetings, gate meetings…)
- Organize town-halls, major events and other meetings
- Works closely with senior I&D executives on their strategic initiatives as needed
- Prepare reports monthly - Microsoft Excel skills are critical to perform the analytics
- Follow up on action items - including interaction with internal staff as well as external vendors
- Maintain archive of critical documents in SharePoint sites
- Invoice processing and preparation through Sealed Air’s SAP system
- Enter Purchase Order Requests in Coupa and SAP system & replenish supplies
Required Qualifications
- Minimum of 5 years of experience in Administrative or Executive Assistant roles, supporting executives in mid to large sized corporate environments
- Associate or Technical degree and/or commensurate technical skills acquired in relevant jobs
Additional Qualifications
- Strong computer aptitude, to include MS Office, etc. (Word, PowerPoint, and Excel)
- Excellent verbal, written, and interpersonal communication skills
- Experience supporting up to 10 managers/supervisors including managing calendars
- Able to work well independently and in a cross-functional team environment
- Ability to organize, manage, and prioritize work for a demanding, fast-paced operating division
- Detail oriented, with a “big picture” proactive approach to their work, anticipating needs of the department and leadership staff, and prioritizing accordingly
- Flexibility regarding changing priorities and deadlines
