A healthcare company is seeking a temporary Executive Assistant to support two high-level executives. The ideal candidate will have 5+ years of administrative experience supporting senior management.
Hourly pay rate: $40/hr
Onsite Mon-Fri
Location: Upper West Side, Manhattan
Assignment is on-going
Job Duties:
- Provides administrative support to senior executives, including managing complex calendars, correspondence, file maintenance, expense reporting, and overseeing key projects.
- Schedules and coordinates meetings; confirms participants and logistics; may take meeting minutes and track follow-ups.
- Reviews meeting or project goals regularly and anticipates information needs.
- Assists with presentations, agendas, and distribution of meeting materials.
- Supports department strategies and initiatives by developing project plans and status updates.
- Handles travel arrangements, including travel reimbursements and expense reporting.
- Reviews submissions to ensure all relevant information, approvals, and details are included.
- Manages communications with other departments or external parties to achieve goals or complete tasks.
- Assists in organizing forums, conferences, seminars, and meetings, including developing informational materials.
- Screens calls, responds to inquiries, or directs them to the appropriate contacts.
- Manages incoming mail, prioritizing actions and follow-ups.
Requirements:
- BA Degree highly preferred
- 5+ years of administrative experience, ideally with senior management.
- Strong organizational skills, ability to multitask, and eagerness to jump in where needed
- Exceptional written and verbal communication skills
- Professional demeanor with the ability to exercise sound judgment
- Proficient in MS Office Suite (Word, Excel, PowerPoint, etc.)
- Ability to maintain confidential and sensitive information
