Job Purpose:
The Executive Assistant provides high-level administrative and strategic support to the CEO of National Wire LLC, ensuring operational efficiency and contributing to the success of key projects. This person will serve as the first point of contact for calls and visitors, directing them to the appropriate departments as necessary.
Essential Job Responsibilities:
- Provide comprehensive calendar management for the CEO, prioritizing inquiries and resolving conflicts efficiently. Make strategic decisions to ensure smooth daily operations and anticipate the CEO's needs ahead of time.
- Coordinate and manage logistics for Board meetings and key events, including planning agendas, preparing materials, and recording meeting minutes on behalf of the CEO.
- Manage reception duties, answering phone calls and welcoming visitors, ensuring they are directed to the appropriate departments promptly.
- Communicate regularly with internal and external executives and assistants to schedule business meetings and events.
- Draft and distribute well-organized memos, reports, and documents with a focus on accuracy and confidentiality.
- Create presentations for the CEO, developing and designing clear, compelling materials for meetings, conferences, and key internal or external events.
- Assist in planning special events and strategic initiatives involving the executive team.
- Organize domestic and international travel arrangements, including detailed itineraries tailored to the CEO's needs.
- Monitor and respond to electronic communications and phone inquiries on behalf of the CEO as appropriate.
- Maintain strong relationships with vendors and clients, representing the company effectively in all interactions.
- Participate in strategic planning and provide support in implementing organizational initiatives at the executive level.
- Track tasks and deadlines using task management tools such as Asana, ensuring timely completion of key deliverables.
- Prepare reports and detailed analyses using software applications such as Excel, SmartSheets, and other data management tools.
- Maintain the highest levels of confidentiality in all matters related to the CEO and the company.
- Adhere to company policies, federal and state regulations, and safety and environmental standards.
- Perform other duties as assigned by the CEO, adapting to the dynamic needs of the company.
Essential Skills, Experience, and Education:
- Bachelor’s degree or equivalent work experience required.
- At least 5 years of experience as an executive assistant supporting senior-level executives.
- Advanced proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and task tracking applications like Asana.
- Experience in strategic planning and project management.
- Outstanding verbal and written communication skills in both English and Spanish.
- Ability to anticipate needs, solve problems proactively, and manage multiple tasks in a fast-paced, deadline-driven environment.
- Professional demeanor and exceptional organizational skills.
- Proven ability to make strategic decisions and manage key relationships effectively.
Required Work Hours and Schedule:
Monday through Friday, 8 AM to 5 PM, with flexibility to meet the CEO’s and company’s needs.
