We seek a detail-oriented and proactive Project Coordinator to join our Due Diligence & Entitlements team. The Project Coordinator will play a crucial role in supporting the successful execution of land development projects by assisting in project planning, coordination, and administrative tasks. The ideal candidate will have strong organizational skills, excellent communication abilities, and a passion for contributing to developing vibrant communities. Below are the basic guidelines for what the role entails. Note that you will be asked to do more than what is listed, and the overall intent is to help support the team where needed.

Key Responsibilities:
- Provide support to the due diligence and entitlements team, including scheduling meetings, managing calendars, preparing agendas, summarizing meeting notes and driving action items.
- Assist with permitting processes by gathering required documents, completing applications, and coordinating with regulatory agencies, engineers, attorneys and other parties to obtain necessary approvals.
- Maintain accurate and up-to-date project documentation and files including contracts, permits, plans, and correspondence.
- Ensure project files are organized and accessible.
- Maintain/update contracts, change orders, and other relevant logs.
- Track and update permitting schedules including deadlines for submittals, reports, requests for additional information, hearings, etc.
- Monitor project budgets and expenses by tracking costs, processing purchase orders for review, and reconciling financial data against budget allocations.
- Assist with project accounting by coordinating between project management, finance, and accounting, and ensuring timely payments.
- Identify and mitigate project risks by monitoring project progress, identifying potential issues or delays, and addressing challenges proactively.
- Coordinate event management with all stakeholders including but not limited to property tours, fundraisers, team outings, etc.
- Manage and route the approval process of all documents requiring signatures or notarization.
- Oversight and enforcement of general office policies, procedures and etiquette.
- Prepare maps, graphics, spreadsheets and analyses as needed.

Qualifications:
- Bachelor's Degree in Business Administration, Construction/Project Management, Real Estate, Finance, or related field.
- 2+ years of experience in project coordination, administrative support, or similar role. Preferably with a homebuilder, developer, or telecom provider.
- Experience in coordinating multiple projects preferred.
- Driven to consistently exceed expectations, and one who actively seeks opportunities and proposes solutions.
- Software savvy is a must. MS Office (Excel/OneNote), Google Suite, Airtable, GIS, Slack, Adobe, Revu.
- Excellent written and verbal communication skills.
- Proven ability to effectively manage competing priorities and deadlines.
- Ability to handle high workloads and a fast-paced environment while maintaining focus and adding value.
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks without compromise.
- Highly flexible, available, and responsive.
- Ability to work successfully in a team and build effective inside and outside working relationships is essential.
- Person of high ethics, integrity, honesty with lots of passion, drive, and a sense of humor.
