Our client, a multinational law firm, is seeking a Legal Secretary to support their team in San Francisco!
Secretarial Support Overview
- Assist throughout the life of a case, from inception to trial or resolution.
- Organize, review, and manage case documents, ensuring accurate and timely preparation of court filings and deposition materials.
- Prepare court filings, proofread documents, verify citations, and assemble necessary exhibits.
- Support trial preparation by managing witness files, exhibits, and logistics.
- Maintain strong client relationships through effective communication and support.
- Draft, edit, and proofread legal documents and collaborate with Paralegals on Responses to Auditor Requests and Opinion Letters.
- Maintain and update client, matter, and communication lists, ensuring seamless information tracking.
- Organize physical and electronic files, using firm software to manage documents and emails efficiently.
- Manage Outlook calendars, schedule appointments, and assist with timenote entries.
- Perform basic legal research and manage billing processes, including editing prebills, generating invoices, and assisting with collections.
- Handle client, matter, and timekeeper inquiries, file transfers, and disengagements.
- Ensure secure data transfer and support attorneys with additional work as needed, contributing to teamwork and productivity.
- Participate in department projects and mentor junior staff on firm processes and procedures.
Administrative Support Overview
- Manage incoming calls, messages, and coordinate conference calls, video conferences, and meetings.
- Handle document-related tasks, such as copying, scanning, and preparing materials for mailing and delivery.
- Make conference room reservations and coordinate meals, multimedia, and additional services as needed.
- Arrange travel through the firm's travel department and manage expense reimbursements and invoice payments.
- Work with the Records Department to prepare materials for storage and assist with organizing firm events and marketing materials.
Education and Experience
- High School Diploma required; Associate Degree preferred.
- Minimum of 3 years recent Legal Secretarial experience.
- Experience working in a large law firm preferred.
