Position Overview
Reporting to the Associate Director, Investor Communication & Marketing (ICM), the RFP Associate will be an important member of the ICM group which is responsible for written collateral communication, quarterly updates, information requests, and brand management for LACM. This includes, for example, presentations, RFPs and RFIs, client questionnaires, factsheets, database management, and thought leadership. ICM manages such communications both internally, as well as between the Firm and the financial community, including clients, prospects, and consultants. ICM is an integral part of the broader Relationship Management department, which is responsible for developing business relationships with prospective institutional investors and investment consultants, as well as supporting the servicing of institutional clients. The RFP Associate will work closely with senior management and numerous other departments internally, including, for example, portfolio managers, relationship management, legal, and compliance.
Key Job Responsibilities
- Complete requests for proposals (RFPs), requests for information (RFI), operational due diligence questionnaires (DDQ), quarterly client questionnaires, and other ad-hoc requests from investors and consultants
- Analyze RFP, RFI, DDQ, and other client questionnaire requirements
- Assist in managing the RFP kick-off process, aligning departmental expectations and clearly communicating requirements and updates on an ongoing basis
- Draft compliant responses, by collating and summarizing standard material and customizing as needed to ensure high quality, targeted responses to the specific opportunity
- Gather data, documents, cover letters, and other attachments as necessary, and manage completion of forms
- Proofread, review, and package submission
- Handle any associated follow-up work for ongoing RFPs
- Maintenance of content database system, including adding new records, updating existing content, and managing annual reviews with subject matter experts
- Coordinate with subject matter experts across departments at the firm to gather information for RFPs, DDQs, and other questionnaires on an ongoing basis
- Develop an understanding of the Firm’s investment process, strategies and pooled funds to support thorough editing and tailoring of RFPs, DDQs, and client questionnaires
- Liaise with Compliance and Legal departments to uphold regulatory standards for marketing materials in the various regions where the Firm operates
- Assist in the ongoing management and maintenance of external consultant databases, as well as assisting in product screening requests
- Use multiple different firm systems to collate information as necessary to support the RFP and questionnaire process, as well as contribute to any other ICM tasks, as required
- Assist the broader ICM team with other responsibilities, including, but not limited to, holdings, performance, and other data requests, and quarterly or ad hoc information updates
- Special projects as assigned
Skills and Knowledge Required
- Bachelor’s degree in finance, business or related field
- Minimum 3-5 years of experience in institutional asset management or a professional services environment
- Clear written and oral communication, with strong RFP and technical writing experience required, minimum of three years
- Highly organized, detail oriented, strong initiative, and committed to quality
- Mature team player who can thrive in a fast paced and challenging, yet collaborative work environment
- Able to manage time effectively when faced with competing priorities and deadlines
- Able to create trust and respect with peers and manage interdepartmental expectations accordingly
- Proactive problem solver with ability to work independently
- Highest ethical standards and demonstrates good judgment
- Advanced skills in Microsoft Office and experience with RFP software
This is a hybrid position based in Los Angeles, CA which requires weekly attendance.
